Ensuring estimate requests are accurately completed on time. Maintenance of rates provided by various sources in collaboration with Sea and Air Product Manager, inclusive agent rates.

1. Management of Estimates

  • Receipt of estimate requests from client services, sales and overseas agents
  • Assist in checking that all necessary information requested to compile the estimate is provided
  • In cases where rates are not on file, application is made to the relevant agent or third-party supplier for the necessary costs
  • Handling complex estimates for break bulk and abnormal project cargos
  • Random checking of estimates to check quality
  • Sending weekly reports to staff to complete acceptance / non acceptance of estimates
  • Monthly reporting of volumes and estimate turnaround times
  • Assist with pricing negotiations
  • To ensure best and final offers are given to clients and agents
  • Ensure estimates are sent to clients / agents within the time frame
  • Liaise with Air and Ocean manager for rates

2. Management of rates in the system

  • Rates received from various departments or third-party suppliers are captured / saved on the system for access and viewing by anyone when necessary
  • To ensure that the pricing data base is up to date
  • Providing other departments and branches with rates when necessary

3. Managing the department

  • Managing staff and provide training Nationally

4. Business Development

  • Sales Nationally:

o Proposals, managing, quality checking

o Admin for Sales / CS and assisting with QC documents

o Client queries a well as managing the website e-mails and new requests

o Internal Queries

o Allocating of sales leads and managing the record keeping thereof

o Ensuring all sales templates are updated and given to branches

  • Petrol Claims

o Receiving claim on Excel and ESS

o Ensuring notes are in CW / SUGAR, process to be followed

o To check Outlook is updated

o Approve petrol claims

  • Hand over new clients to Client Services (CS)

o Ensure correct documentation is received

o Checking and approving for CS Manager to allocate CS person

o Ensure SOP is in completed

5. SUGAR super user

  • The Regional SUGAR Key User should have enough time besides his/her daily business to dedicate to the SUGAR tasks and plan regular skype or meetings to inform/train the Country Key Users should be „an accepted person“ within the region´s organisation (close to the Country Key User but also to Sales Management) should be supported by sales and general management
  • Functional Reporting to Global CRM Coordinator
  • To ensure that the pricing data base is up to date
  • Multiplier for any central demands / requests in the region
  • Training of Country Key Users (= regional support desk function)
  • Identify regularly need for training (new users and any updates)
  • Support of Country Key Users (= regional support desk function)
  • Forward SUGAR information to Country Key Users
  • Coordination of questions, wishes and improvement proposals to the SUGAR team
  • Follow up of the tasks of the Country Key Users
  • Follow up on Regional Data Quality Report (overdue activities, filled fields, content of CR, requirements of Sales Reporting, …) with Country Super Users
  • Follow up on correct usage of SUGAR (meetings below contacts not accounts, tag-structure, accounts not with inactive users, …)
  • Support Sales Campagnes, the use of mailing tools and working knowledge of Mautic (central external mailing tool)
  • A working knowledge of GDPR criteria & processes
  • Expertise
  • Very detailed SUGAR knowledge
  • Prepare and hold own SUGAR trainings (the benefit of SUGAR can be explained & transferred)
  • Daily use of SUGAR in order to keep the SUGAR knowledge
  • Know the sales process of the own organisation/country
  • Regular exchange with country/sales management

6. Other – Ad Hoc

  • Communicating with estimators nationally
  • Calling agents / Shipping lines when estimators unable to get rates
  • Monitoring the daily report that is received twice a day nationally
  • Resolve issues with agents as required
  • Allocating of estimates to other branches when there is an overflow
  • Ensuring all estimates templates are given to branches once updates are done
  • Ensuring rates are available for all estimators

Knowledge & Experience

  • Matric or Senior Certification equivalent
  • Various courses in customs clearance, Incoterms and ships agency
  • All modes – Air, Ocean & Road
  • 12 Years’ experience in Freight Forwarding & Clearing
