Key Roles and Duties of a Medical Receptionist
1. Front Desk Management

Greet and check in patients professionally.

Answer phone calls, respond to inquiries, and direct calls to appropriate departments.

Schedule and confirm patient appointments.
2. Patient Registration

Collect and verify patient information (e.g., name, contact details, insurance).

Assist new patients with registration forms and explain required documentation.

Maintain up-to-date patient records in the system.
3. Appointment Scheduling

Book, reschedule, or cancel appointments using practice management software.

Ensure proper time allocation for consultations and procedures.

Send appointment reminders via phone, email, or SMS.
4. Administrative Support

Manage patient files (physical or electronic), ensuring confidentiality and accuracy.

Prepare documents, forms, and reports as needed.

Handle mail, faxing, scanning, and copying documents.
5. Billing and Insurance

Collect payments for consultations or procedures.

Verify insurance coverage and co-pays.

Process billing information and generate invoices or receipts.
6. Communication and Coordination

Liaise between patients and medical staff to relay messages or updates.

Inform patients about delays or changes in scheduling.

Coordinate with labs, pharmacies, or other healthcare providers as needed.
7. Office Maintenance

Maintain cleanliness and organization of the reception and waiting areas.
