Role Purpose

Coordinate and support the day-to-day operational functioning within the area of responsibility, by providing administrative assistance.

Requirements

  • Grade 12 or equivalent qualification
  • Administrative or secretarial qualification will be advantageous
  • 2-4 Experience in business development/ Tender administration
  • Health experience will be advantageous.
  • 2 years Site visit management or event management
  • Strong planning, administrative skills
  • Communication skills
  • Strong excel, Word and administrative skills
  • Electronic and manual Filing
  • Must have Employee Assistant Program knowledge.

Duties & Responsibilities

INTERNAL PROCESSES

  • Monitor BD communications channels.
  • Attend tender briefings and obtain relevant forms.
  • Ensure incoming opportunities are pursued
  • Manage incoming queries and SLAs of the team by assigning, directing and escalating all queries.
  • Report on the operational activities within the area of responsibility to inform operational efficiencies.
  • Assist in the preparation of regularly scheduled reports, as required.
  • Updating the tender Library
  • Responsible to sourcing updated company compliance for tenders
  • Administration support for tenders
  • Printing and packaging
  • May be required to do market research
  • Provide administrative support to Tender Specialist and Manager

CLIENT SERVICES

  • Provide authoritative, expertise and advice to clients and stakeholders
  • Participate and contribute to a culture which builds rewarding relationships, facilitates feedback and provides exceptional client service
  • Maintain pipeline (value contract dates) and database
  • Ensure quotes response to RFQ’s (Request for quotation)
  • Establish quote sign-off from SME’s/ Product owners
  • Co-ordinate sites visits and internal stakeholder engagement sessions

  • Develop and maintain productive and collaborative working relationships with peers and stakeholders
  • Positively influence and participate in change initiatives
  • Continuously develop own expertise in terms of professional, industry and legislation knowledge

  • Take ownership for driving career development
  • Follow-up and provide feedback to the BD Manager

FINANCE

  • To support the sales process
  • Package (print and bind) and submit proposals / RFQ / RFP.
  • Update and upload tender templates on the library.
  • Stationery orders and stock control.
  • Getting comparative quotes from relevant suppliers.
