The Events Co-ordinator will be responsible for the co-ordination and management of events from conception to completion, which includes event logistics, project planning, budgeting, vendor sourcing and internal coordination, to ensure each event runs smoothly. This individual will work closely with internal teams and external vendors to deliver memorable and successful events while adhering to timelines, budget constraints and brand image.

What You’ll Be Doing

As part of your role, your responsibilities will include:

  • Managing our internal event calendar and align to global events and CSR strategy
  • Update Airtable with upcoming events
  • Successfully deliver each quarter’s plans on time
  • Assist with creating event opportunities for our leaders to be visible to staff to bridge the gap between senior leaders and staff eg exco sponsors for campaigns
  • Continuously update and refresh events offered to staff members by keeping up to date with trends
  • Assist with creating opportunities for employees to support local charities and volunteer their time
  • Event Planning & Execution:
  • Coordinate from conception to completion the details of CSR and internal events
  • Collaborate with Corporate Communications manager and internal stakeholders, to define event objectives and specific requirements
  • Develop detailed project plans for each event, including timelines, milestones, and resource allocations
  • Conduct pre-event briefings to ensure all team members are well-prepared and informed of their roles and responsibilities.
  • Sourcing and consultation with vendors / suppliers:
  • Manage vendor relationships throughout the event planning process to ensure expectations are met
  • Assist with reviewing contracts and agreements, ensuring that all logistical details are confirmed and documented.
  • Prepare invitations and send out at the appropriate time and drive attendance to the event
  • Ensure set up and coordination of the event runs smoothly
  • Prepare detailed event run sheets and schedules, ensuring that all stakeholders are aligned on timelines, responsibilities, and key tasks.
  • Ensure that every aspect of the event is accounted for in the running order, including setup, guest arrivals, presentations, meals, and breakdown.
  • Ensuring smooth execution and troubleshooting any issues that arise.
  • Brand image: Make sure we are capturing events through photography and videography
  • Debrief from campaign events: Collate feedback and analyse the event performance ensuring detailed feedback provided.
  • Budget Management
  • Assist in creating and managing event budgets, ensuring that all costs are tracked and expenditures remain within the allocated budget.
  • Obtain quotes and negotiate the type and costs of services to be provided, in line with budget
  • Monitor expenses throughout the planning process and proactively address any discrepancies or potential budget concerns.
  • Follow-up with suppliers and Finance to arrange payment (invoice management)

Essential Skills You’ll Bring To The Table

The necessary skills that we require for this role include:

  • Events Planning or Communications/Marketing Diploma or Degree / Equivalent qualification
  • Minimum of 2 years work experience in event planning or related field
  • Valid driver’s license
