Job Description: Administrative and Operational Support
- Support the Customer Support Africa team with calendar management, document preparation, scheduling, and correspondence.
- Maintain updated records and support documentation related to Health & Safety, Visitor management and auditable Quality procedures.
- Help coordinate travel for the team, including visa management.
- Process invoices and expenses related to travel, events, training, and supplies.
- Provide backup administrative support to other teams as needed during peak operations or abnormal events.
- Facilitate smooth communication within the Customer Support Africa team and across all relevant transversal departments such as Security, HR, Finance and Facility Management.
- Prepare and distribute team updates on Airbus internal events and briefings, as well as relevant intelligence information regarding our Customer Support Africa mission.
- Liaise with external customers and partners for relevant aspects, e.g. in the domain of event or training organization.
- Support professional communication to internal and external stakeholders regarding the Customer Support Africa mission in close coordination with the Communications department.
- Plan, coordinate and execute trainings and seminars for Customers and external partners, including logistics, materials, agendas, and attendance tracking.
- Organize team meetings, recognition events, and feedback sessions to support staff engagement and continuous improvement.
- Assist with onboarding sessions and relevant team workshops, e.g. linked to Health & Safety or Ethics & Compliance.
- Assist in coordinating special projects such as customer satisfaction improvement programs, complaint resolution programs, or digitization initiatives.
- Support the creation and maintenance of performance dashboards that track KPIs linked to internal and customer actions, incl. upskilling plans in the context of the Customer Support Africa mission.
- Compile and present data from relevant systems to support decision-making and operational reporting.
- Assist in developing regular performance and mission reports, including but not limited to the Monthly Business Review.
