Job Purpose

The Administrative Assistant / Technical Coordinator is responsible for managing administrative functions, coordinating technical operations, and ensuring seamless workflow between technicians, clients, and management. This is a high-pressure role that requires excellent organizational, communication, and project management skills. The candidate must be able to work independently and as part of a team while handling multiple tasks efficiently.

Minimum Requirements

  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word).
  • Excellent written and verbal communication skills.
  • Strong problem-solving abilities and attention to detail.
  • Ability to handle a high-pressure work environment.
  • Experience in project management and logistics.
  • Ability to work independently and as part of a team.
  • Candidate must reside in the areas of Strand, Somerset-West or Stellenbosch.
  • Candidates must have their own transport.
  • Minimum Grade 12 or equivalent qualification.
  • Minimum of 3-5 years in an administrative procedure within a technical or engineering environment.
  • Experience in project management and logistics
  • Reporting skills.
  • Typing skills.
  • Attention to detail and accuracy.
  • Discretion and judgment.
  • Excellent written and verbal communication skills
  • Patience and problem-solving abilities.

Duties Will Include But Not Limited To

  • Technical Support & Administration
  • Perform administrative duties effectively.
  • Assist and support administrative staff, providing backup to other Technical Administrators.
  • Assist with travel arrangements if needed.
  • Maintain and update technical records, databases, and documentation.
  • Assist in the preparation of reports, proposals, and presentations.
  • Ensure all technical documentation is accurate, up-to-date, and stored appropriately.
  • 2. Coordination & Communication
  • Act as a liaison between technical teams, clients, and other departments.
  • Coordinate between departments and operational units to resolve day-to-day administrative and operational issues.
  • Assist with various daily operations, including maintaining billing schedules and tool registers.
  • Manage and assist with communications within the operational teams.
  • Schedule and coordinate meetings, training sessions, and site visits.
  • Follow up on action items and project deliverables to ensure timely completion.
  • 3. Compliance & Quality Assurance
  • Ensure compliance with company policies, procedures, and industry regulations.
  • Conduct periodic checks to verify adherence to safety and quality standards.
  • Assist in audits and inspections by preparing necessary documentation.
  • Handle sensitive information in a confidential manner.
  • 4. Project Management
  • Ensure projects are loaded within 24-48 hours.
  • Ensure PO’s are raised within 24 hours.
  • Provide weekly feedback on predictions versus actual invoicing.
  • Liaise with project managers for weekly feedback on work in progress (WIP).
  • Oversee project expenses.
  • 5. Procurement & Inventory Management
  • Create picking slips and PO’s.
  • Match PO’s with goods received and ensure GRV’s are completed.
  • Liaise with suppliers regarding outstanding equipment and stock items.
  • Manage the open PO list and provide statistics on outstanding issues.
  • Follow up on supplier queries.
  • Manage the open GRV list.
  • Assist with new vendor documentation.
  • Receive delivered supplier material and equipment, confirming delivered goods.
  • Ensure all faulty equipment is taken in for repairs.
