Job Description

To provide day to day human resource administrative support and contribute to the long-term development of the HR function. Provide HR support and advice to employees and line managers, explaining policies and procedures in a timely and effective manner.

Duties & Responsibilities

Talent and Recruitment Administration
  • Lead all recruitment for A and B band positions with the assistance of the HR Practitioner responsible for the area with a vacancy.
  • Ensure all reference and criminal record checks are carried out fully and in a timely manner.
  • Provide recruitment-related administrative support to the HR Team from appointment workflow stage through to joining instructions and scheduling inductions within the first week of employment.
  • Announce new appointments on the Let’s Talk App (internal).
  • Provide administrative support in the full annual performance appraisal system and coordination annual refresher sessions for target setting, mid-year reviews, year-end reviews, and consistency reviews.
  • Liaise with the HR Practitioners to process the full termination procedure for A – CU band positions, this includes the following:
oExit checklist (medicals, termination workflows, staff shop accounts, etc)
oCoordinating exit interviews to be lead by the respective HR Practitioners Workflows
  • Initiate the below workflows to provide seamless internal processes for any people-related changed:
oAppointment Workflows
oTermination Workflows
oOM Workflows
oGeneral Document Approval Workflows
  • Consistently track workflows and provide regular updates to the HR Team on progress and completion
  • Initiate workflows to process any ER related payments
Employee Relations
  • Provide advice to line managers regarding conduct and misconduct practices with support from the HR Practitioners
  • Provide advice to line managers and investigate/process disciplinary cases with support from the HR Practitioners
  • Provide advice to line managers and investigate/process grievances from the HR Practitioners
  • Provide HR support and advice to employees and line managers, explaining policies and procedures in a timely and effective manner.
  • Coordinate and administer all CCMA bundles for conciliation and arbitration cases as guided by the HR Practitioner
  • Record minutes for monthly shop steward meetings and any other ER related meetings

Health and Safety Compliance
  • Handle health, safety and IOD processes and queries
  • Encourage safety compliance at all times

Learning and Development
  • Assist HR Practitioners in administration related to development plans and record keeping

HR Administration
  • Handle maternity, paternity, adoption and parental leave processes and queries
  • Enter data into the HR system to ensure accurate recording of HR records (personnel changes, position changes, disciplinary actions, etc.)
  • Provide data for and prepare management information reports

  • Liaise with payroll and ensure efficient distribution of manual payslips through the different Plant Controllers
  • Process medical aid / fund entries and withdrawals
  • Process death and disability claim documents
  • Capture disciplinary records into SAP
  • Administer the recording and reporting of absence
  • Maintain the personnel filing system and safeguard the files and documentation
  • Manage the leave administration process
  • Distribute/disseminate policies and convey related communication
  • Administer employee/study loan and bursary documentation
  • Answer all channeled HR administration-related queries from employees and managers in the business and ensure their resolution in accordance with service standards.
  • Manage the Let’s Talk App and all content creation thereof

Minimum Requirements

  • Diploma or Degree in Human Resources Management.
  • Must have a minimum of 2 years in a similar (HR) environment, of which 1 must be in an HR Administration role working independently.
  • Computer Literacy (MS Office, including Excel and Word).
  • SAP experience essential
