Job Advert Summary

Clover is looking a Senior Payroll Administrator that will be responsible for the processing of salary input and making appropriate deductions for tax, pension, medical aid and other. Maintains payroll information by collecting, calculating, and entering all required data into the payroll system. Updates payroll records by entering changes in exemptions, insurance coverage and loan payments, new engagements and terminations. Prepares periodic reports by compiling summaries of earnings, taxes, leave, deductions and other required information.

Minimum Requirements

  • National Diploma
  • Business English: Fluent
  • Computer literacy (Intermediate)
  • Relevant experience in applying job related concepts, techniques and processes at the required level
  • Experience in working with senior management

Duties and Responsibilities

Responsible for Payroll Administration

  • Responsible for preparation, processing, calculating and auditing of multiple payrolls according to procedure, ensuring compliance and accuracy
  • Capture and administer all input on payroll system for respective branches
  • Control input by verifying dummy payslips for accuracy and making changes if necessary
  • Prepare monthly payslips for distribution to branches
  • Demonstrate sound knowledge and understanding of legislation affecting labour and tax compliance
  • Liaise with third parties to resolve queries and execute instructions as and when required
  • Create and maintain process documentation of workflows and business processes relating to payroll
  • Manage relationships with payroll service providers and other third-party vendors

Manage Reconciliations and Reporting

  • Act as liaison between Payroll, Human Resources and Finance
  • Investigate, action and provide feedback on all GL and payroll related account queries
  • Prepare financial reconciliations, scheduled and ad-hoc reports from all Human Resources systems
  • Reconcile all payroll related GL accounts timeously
  • Provide accurate management information upon request

Manage System Control and Maintenance

  • Create, update and maintain all payroll components and fields on Human Resources systems
  • Perform troubleshooting and system problem-solving and makes corrections and recommendations to stakeholders
  • Create, update and maintain payroll and process user manuals
  • Audits compliance and provides support and resolution on system changes to users and third party providers
  • Perform data reconciliations between systems and resolve issues
  • Prepare, conduct and document monthly payroll meetings with relevant stakeholders

Provide Payroll Support

  • Assist Manager: Payroll with EFT and online banking payments
  • Assist Manager: Payroll with preparation, submission and reporting of SARS tax returns for all companies
  • Assist Manager: Payroll with preparation, submission and reporting of all third party payments for all companies
  • Assist Manager: Payroll with preparation and submission of bi-annual SARS tax returns for all companies
  • Develop and deliver training programs for payroll and HR teams to ensure they are up-to-date with the latest payroll practices and regulations
  • Provide support to users with payroll and system related queries and close JIRA helpdesk tickets
  • Fulfill backup function and act as stand-in for Manager: Payroll, performing all related tasks as required

Perform Audits and Ensure Compliance

  • Perform audits of personnel data (electronic and employee files) to ensure Employee Master data integrity
  • Collate, verify and provide feedback to branches on all monthly branch payroll data audits
  • Drive annual payroll audit processes with external auditors
  • Ensure recordkeeping compliance including filing, archiving, storage and destruction of payroll records according to legislation
  • Ensure Master data integrity and maintenance of payroll data / records (electronic & manual)
  • Identify opportunities for process improvements and implement changes to enhance payroll efficiency and accuracy
