Main purpose of position:

We are currently seeking a Finance Administrator to join our Cape Town office and be part of our global team working toward our vision Improving our Future. As our Finance Administrator you will be responsible for the clerical administration of the “procure-to-pay” internal process. This includes the daily task of processing incoming vendor invoices from the Finance South Africa and Finance Botswana mailboxes through the Eye-Share vendor invoice approval workflow application and ultimately payment. Other tasks associated with the “procure-to-pay” internal process include responding to queries from the business on invoices requiring payment, applying payments against invoices in the accounting system, and preparing bank and supplier reconciliations.

Main responsibilities:


  • Manage and maintain daily incoming emails from the Finance South Africa and Botswana mailboxes
  • Process vendor invoices using Eye-Share Capture, including enhancing pattern recognition and ensuring correct population of data (e.g. company codes, periods, unique invoice numbers etc.)
  • Manage Eye-Share Workflow tasks such as:
    • Assigning the correct approvers
    • Verifying general ledger coding accuracy
    • Validating VAT/tax compliance
    • Ensuring appropriate approvals are obtained
  • Prepare and process payment batches
  • Apply payments to vendor accounts in the accounting system
  • Perform monthly bank reconciliations and supplier account reconciliations
  • Respond promptly to invoice and payment-related queries from vendors and internal stakeholders


Qualifications and competencies :


  • Accounting qualification and/or 3 years plus bookkeeping or clerical administration experience
  • Comfortable with routine tasks, demonstrating speed, structure, accuracy, and consistency
  • Language: Good command of English (in word and writing)
  • Confident, positive outlook
  • Work independently once processes are learned
  • Good communicator and team player.
  • Able to build and maintain rapport with internal stakeholders
  • Strong written and verbal communication skills – English
  • Troubleshooting and problem solving within area of responsibility
  • Able to multi-task under pressure

For the particular role we also expect:


  • Experience working in finance within a team, with exposure to: Bookkeeping, Purchase Orders, Invoicing, Credit Control, Balance Sheet Reconciliations and Month End
  • Familiarity with Accounting/ERP systems
  • Proficient in Microsoft Excel (intermediate level) and other Microsoft Office applications
  • Excellent attention to detail with strong organisational skills
  • Ability to manage own work and deadlines
