A well-established commercial real estate business with twenty years of proven success in the market is seeking a passionate and driven individual to join our property management team.

Specialising in retail, office, and mixed-use properties, we are looking for a proactive, results-oriented individual with strong problem-solving skills and technical insight. The ideal candidate will be capable of working independently while providing detailed reporting to the property manager.

Responsibilities
Work closely with the property manager and property administrators
Manage a property portfolio consisting of retail, industrial, and mixed-use properties
Handle correspondence with tenants relating to daily activities and planned maintenance
Manage security, cleaning, refuse, and other soft services
Schedule and manage routine maintenance and repairs (electrical, fire, mechanical, plumbing, building structure, and related equipment)
Conduct routine facilities inspections
Submit building inspection reports
Report on all repairs and maintenance, and outsourced activities, and take appropriate action
Maintain building compliance records, maintenance logs, and servicing certification in line with building regulations
Ensure assets are fully maintained according to the maintenance plan and associated budgets
Manage and coordinate up-to-date maintenance and service schedules
Respond to reactive maintenance issues timeously
Coordinate and report on contractor SLA performance
Project manage, supervise, and coordinate outsourced contractor works
Arrange and motivate repair and maintenance quotations and invoices for approval by the facilities head
Liaise with the property administrator and property manager to ensure timely closure and completion of job cards
Continuously identify opportunities for improvement in FM operations
Ensure health and safety compliance in accordance with the Occupational Health and Safety Act, and address risks immediately
Identify and action non-compliance risks
Assist with compiling the annual preventative maintenance schedule
Be available for critical maintenance issues after hours when required

Experience and qualifications
Diploma or degree in property studies, facilities management, or a related field
Experience in a building or facilities management environment with a strong technical focus
Ability to develop and maintain sound relationships with tenants, landlords, and contractors
Understanding of all aspects of building management, including hard and soft services
Experience in obtaining quotes and managing contractors
Experience with ticket management software is beneficial
