Job Advert Summary
Clover is looking for a Human Resources Administrator that will be responsible for providing comprehensive administrative support across HR functions, including employee benefits, payroll, HR systems, financial processes, policy management, and compliance. This role ensures accurate data processing, effective communication, and adherence to legislative and organizational requirements, contributing to the efficient operation of the HR department.
Minimum Requirements
- National Diploma
- Relevant experience in applying job related concepts, techniques and processes at the required level
- Business English: Fluent
- Computer literacy (Advanced)
- Code 08 Driver's license
Duties and Responsibilities
FINANCIAL AND BUDGET SUPPORT
- Review and report on departmental budget and expenditure monthly
- Manage invoice and purchase order processes
- Attend and contribute to monthly HR finance meetings
- Ensure accurate cost allocations and arrange corrections when needed
- Liaise with Finance and stakeholders to ensure timely supplier payments
- Obtain quotes and assist with travel, training, and catering arrangements
- Assist with signature processes for of quotations and legal documentation
HR ADMINISTRATION SUPPORT
- Provide first-line support for HR systems (budget, performance management, etc)
- Assist to administer the national personnel budget process, and the management of all branch budget changes
- Assist Branch HR Administrator with admin functions relating to employee lifecycle documentation (engagements, changes, terminations)
- Provide general administrative support to the HR team and act as a stand in for Benefits, HR Admin, and Payroll team members
- Distribute and collect documentation from branch HR departments
- Support resolution of HR, administration, and employee benefits queries
- Prepare monthly reports and presentations and management information upon request
- Support projects and ad-hoc administrative tasks
POLICY AND COMMUNICATION MANAGEMENT
- Communicate policy updates via HelloClover and other platforms
- Manage the policy matrix and coordinate with policy stakeholders
- Manage the HR policy communication plan
- Maintain version control and soft copy records of policies
- Publish and remove HR policies (including Talent and IR) on CDS
- Coordinate updates to onboarding packs and related documents
AUDIT AND COMPLIANCE SUPPORT
- Manage the POPI contract matrix and stakeholder processes
- Ensure POPI clause compliance in all provider contracts (new and existing)
- Manage external supplier contracting processes
- Conduct audits on system and payroll data
- Collate and verify audit findings and provide feedback
EMPLOYEE BENEFITS AND MEDICAL AID ADMINISTRATION
- Manage the full Medical Health Insurance process for Clover
- Process member changes on PaySpace (additions, terminations, updates)
- Communicate with Affinity and employees regarding queries and share member communications as per plans
- Distribute membership cards and documentation
- Address queries from the Employee.Benefits inbox
EMPLOYEE BENEFITS COMMUNICATION AND MEETING ARRANGEMENTS
- Publish Employee Benefits communications on platforms (HelloClover, SMS, HR.Communicate)
- Arrange meetings, refreshments, training sessions, and logistics for stakeholders
- Design and prepare Employee Benefits communication materials in collaboration with the Manager: Remuneration & Benefits
- Coordinate blood donation days, executive wellness arrangements and wellness events
