Purpose Statement
To provide planning and administrative support to the department so as to ensure that service delivery is optimized.
Minimum Requirements
Qualifications
Diploma in Office or Business Administration or a related field
Work Experiance
1 – 2 years relevant planning work experience within an administrative environment.
Duties and Responsibilities
Functional Management
- Plan and schedule all Accreditation assessments according to relevant ISO and regulatory requirements in consultation with the Manager.
- Update assessment job status on planning system.
- Update the Accreditation assessment planning master schedule.
- Administer all ad-hoc / short notice changes to assessment plans.
- Record all assessment postponements.
- Assist in verifying status of IRQ’s submitted to Accreditation through the IRQ system within set timelines.
- Assist in providing guidance to assessors during external assessments (SANAS/RVA).
- File, update and manage all documents appropriately as per standard operating procedures.
- Provide general administration support and logistics coordination (e.g., meetings, training, room bookings, etc.) for Accreditation as required
- Assist with the compilation of relevant documents, reports, etc. as required.
- Prepare agendas, reports, documents and meeting packs for agreed upon meetings.
- Maintain the relevant filing and record management system for Accreditation and other office flow procedures to ensure easy retrieval of records.
- Perform special projects as directed by the Manager, including the review, research, summarization and analysis of information.
- Perform the required quality checks of permits and certificates.
- Attend key meetings with the Manager with the purpose of ensuring follow-up and execution on identified actions.
- Assist with the compilation of strategic documents for the Manager.
Risk and Compliance Management
- Assist in identifying and adhering to fraud controls, risk prevention principles, sound governance and compliance processes, and tools to identify and manage risks.
- Support and provide evidence to all internal and external audit, Accreditation and regulatory requirements.
- Maintain quality risk management standards in line with ISO and regulatory requirements.
- Maintain and enforce all related Service Level Agreements to minimise business risk and ensure business continuity.
- Review related Standard Operating Procedures in consultation with the Managers and Executives to ensure business optimisation.
- Adhere to all relevant laws, policies and Standard Operating Procedures throughout the organisation
Stakeholder Management
- Build and maintain effective internal and external stakeholder relationships for the purpose of expectations management, knowledge sharing and integration, and to manage the organisation’s reputation
- Actively liaise and build relationships with SABS clients and service providers so as to ensure that the service standards are met appropriately.
- Uphold the image of the office of the Head in all interactions with stakeholders.
- Coordinate the flow of information, providing a central point of contact for internal and external customer’s queries and/or complaints.
- Convene and attend meetings and present relevant information to relevant stakeholders when required.
- Implement timeous communication on progress and challenges in achieving the tactical work plans to impacted stakeholders.
