BUILDING SUPERVISOR
- SUPERVISE ALL CONTRACT WORK
- RESPONSIBLE FOR HEALTH AND SAFTEY IN THE BUILDING
- BE AVAILABE TO RESPOND TO EMERGENCIES
- BE AVAILABLE FOR AGM’S, TRUSTEE MEETINGS
- GOOD COMMUNICATION SKILLS
- LIASE WITH TRAFALGAR AND TRUSTEES
- INTERVIEW PROSPECTIVE TENANTS
- MAINTAINING TENANT RECORD FILES
- MAINTAIN BIOMETRICS SYSTEM i.e. LOAD NEW TENANTS AND DELETE TENANTS WHO HAVE VACATED THE BUILDING
- KEEP ACCURATE RECORDS OF ALL REPORTS AND UPDATE REGULARLY
- RECORD OF ALL ACCESS TAGS AND REMOTES
- RECORD OF ALL TOOLS AND BUILDING ASSETS
- CREDIT CARD USAGE MUST HAVE RECEIPTS FOR EVERY PURCHASE
- PETTY CASH TO BE BANKED ON A MONTHLY BASIS TO TRAFALGAR ACCOUNT
- SEND OUT MONTHLY REPORT, RECONS, DETAILED REPORT
DAILY TASK
- CHECK SECURITY OR BOOK FOR ANY INCIDENTS AND RESOLVE ISSUES
- CHECK SLEEPOVER SHEET AND CAPTURE ON SYSTEM. ENSURE SLEEPOVER PAYMENTS HAVE BEEN RECEIVED.
- MEET WITH CLEANERS TO DISCUSS ANY ISSUES AND TO DISCUSS MAINTENANCE REQUIREMENTS FOR THE DAY
- MORNING BUILDING WALK INCLUDES ROOFTOP, CORRIDOORS, FOYER, TOP & BOTTOM PARKINGS
- CHECK EMAILS AND RESPOND - LAISE WITH TRAFALGAR AND TRUSTEES
- UPDATE REPORTS DAILY
- AFTERNOON FLOOR WALK
- MONTHLY LIFT SERVICE TO BE DONE
- MONTHLY PEST CONTROL TO BE DONE
- WEEKLY REPORTS TO BE SENT TO TRUSTEES
- MONTHLY WATER & ELECTRICITY READING FOR EACH FLAT. CAPTURE ON EXCEL.
- WEEKLY MONITOR AND ORDER CLEANING MATERIALS AS REQUIRED
QUARTERLY
- WINDOW WASHING
- METER ROOM COMPLIANCE
ANNUAL
- ALL FIRE EQUIPMENT SERVICED AND CERTIFICATES ISSUED AND FILED
- 3 YEAR CYCLE – SPRINKLER VALVE SYSTEM TO BE SERVICED
SECURITY
- MANAGE SECURITY STAFF ON SITE.
- GUARDS TO REPORT ANY INCIDENTS TO SUPERVISOR
- GUARDS TO RECORD VISITORS, SLEEPOVERS, CONTRACTORS IN BOOK
- CONSTANT CHECK ON CAMERAS e.g. ALL ACCESS POINTS, PARKINGS
- TO KEEP CONTROL OF PEOPLE MOVING IN OR OUT AND MAKE SURE LIFT COVERS ARE IN PLACE TO AVOID ANY DAMAGES TO LIFT
STAFF
- MANAGE 2 X CLEANERS ON SITE DAILY.
- STAFF TO SIGN DAILY IN THE STAFF REGISTER
- BRING ANY WORK/MAINTENANCE ISSUES TO SUPERVISOR
- KEEP STAFFING ROSTERS
- SUPERVISOR TO KEEP UPDATED RECORDS OF STAFF ID/PAPERWORK
- TO KEEP BUILDING CLEAN AS WELL AS GARDENS AT ALL TIMES
- MAKE SURE OUTSIDE PERIMETES ARE CLEANED
- PARKINGS MUST BE SWEPT DAILY
- ADHERE TO TEA & LUNCH TIMES
- STAFF NOT TO ABUSE COMPANY RESOURCES
CONTRACTORS
- SUPERVISOR TO GET 3 QUOTES FROM PREFERRED CONTRACTORS
- CONTRACTORS TO REPORT TO SUPERVISOR BEFORE ANY COMMENCEMENT OF WORK IN BUILDING
- SUPERVISOR TO CHECK ON CONTRACTORS TO AVOID ANY DAMAGE TO PROPERTY THIS INCLUDES ROOFTOP/WATERPROOFING/PLUMBING/ELCTRICAL
PARKING
- SUPERVISOR TO KEEP A RECORD OF ALL PARKING OCCUPIERS
- TO HAVE OWNERS FILL IN PARKING APPLICATION FORMS TO OBTAIN PARKING
- LIASE WITH MANAGING AGENT WITH UPDATES OF OWNERS PAYING PARKING TO LEVY ACCONTS
- LIASE AND UPDATE MANAGING AGENT WITH ANY PARKING CANCELLATIONS
- TO ENSURE NO ITEMS ARE KEPT IN PARKING BAYS
