PURPOSE OF THE ROLE
The Office Administrator’s role supports the efficient operation of our production facility by managing a diverse range of administrative, financial, and inventory-related tasks. The ideal candidate will be a strong communicator, adept at juggling multiple priorities, and possess a solid understanding of basic accounting principles and inventory management within a fast-paced production environment.
KEY RESPONSIBILITIES
1. Financial Administration & Support:
- Payroll Processing: Prepare and process weekly/fortnightly/monthly payroll timesheets for team members, ensuring accuracy.
- Expense Management: Receive, verify, process, and reconcile all company expenses, including petty cash and card statements.
2. General Administration & Procurement:
- Daily Administrative Queries: Act as the primary point of contact for day-to-day administrative requests.
- Procurement Support:
- Obtain quotes from various suppliers for parts, consumables, and services required for operations.
- Place orders for approved parts and equipment, ensuring timely delivery.
- Manage external shipments of parts and supplies, including tracking and liaison with logistics providers.
- Documentation & Filing: Maintain accurate and organised physical and digital filing systems for all administrative and financial records.
3. Inventory & Stock Management Support:
- Goods Received Voucher (GRV) Backup: Serve as a reliable backup for the GRV/Stock Clerk, assisting with:
- Accurate capture of incoming goods and materials into the inventory system.
- Verification of deliveries against purchase orders.
- Resolution of discrepancies.
QUALIFICATIONS & EXPERIENCE
- Grade 12 or equivalent qualification
- Knowledge of meat preparation techniques and cuts.
- Minimum of 3-5 years' proven experience in an administrative or financial support role, preferably within a manufacturing, production, or fast-moving consumer goods (FMCG) environment.
- Experience with inventory management and GRV processes is desirable
COMPETENCIES REQUIRED
- Proficient in Microsoft Office Suite, particularly Excel (intermediate to advanced level for data analysis and reporting).
- Excellent analytical and problem-solving skills.
- High attention to detail and accuracy.
- Ability to work well in a team and communicate effectively.
