Duties and responsibilities
- Assist with practice administration, including management of the diary, opening of files and general file management, saving of correspondence on the document managements systems / good record keeping.
- Prepare and draft schedules, liaise with local Sheriffs, from time to time, Judge’s clerks, and Trade Mark Office staff.
- Bring urgent matters to the attention of the attorney dealing with the matter.
- Deal with matters promptly and efficiently and ensure that all urgent tasks are completed on timeously.
- Ensure understanding all areas of practice and office procedures.
- Attend to invoicing and payment processing of third party / vendor invoices timeously and correctly.
- Accurate capturing of professionals’ time, attending to all aspects of invoicing.
- Dealing with large volumes and capturing of e-mails onto electronic database.
Skills and knowledge
- Display a high level of initiative and be pro-active in the administration of the practice.
- Ability to work under pressure, use initiative and meet deadlines.
- Ability to prioritize.
- Good organizational skills.
- Good communication skills.
- High level of attention to detail.
- Computer Literate and good knowledge of MS Word, Spreadsheet, Outlook, etc.
- Must have an average typing speed of ±60 wpm with high accuracy.
Qualification/s
- Matric Certificate.
- Secretarial qualification would be advantageous.
- 3 – 5 years’ secretarial experience.
- Litigation experience is preferable.
