Duties and responsibilities

  • Assist with practice administration, including management of the diary, opening of files and general file management, saving of correspondence on the document managements systems / good record keeping.
  • Prepare and draft schedules, liaise with local Sheriffs, from time to time, Judge’s clerks, and Trade Mark Office staff.
  • Bring urgent matters to the attention of the attorney dealing with the matter.
  • Deal with matters promptly and efficiently and ensure that all urgent tasks are completed on timeously.
  • Ensure understanding all areas of practice and office procedures.
  • Attend to invoicing and payment processing of third party / vendor invoices timeously and correctly.
  • Accurate capturing of professionals’ time, attending to all aspects of invoicing.
  • Dealing with large volumes and capturing of e-mails onto electronic database.

Skills and knowledge

  • Display a high level of initiative and be pro-active in the administration of the practice.
  • Ability to work under pressure, use initiative and meet deadlines.
  • Ability to prioritize.
  • Good organizational skills.
  • Good communication skills.
  • High level of attention to detail.
  • Computer Literate and good knowledge of MS Word, Spreadsheet, Outlook, etc.
  • Must have an average typing speed of ±60 wpm with high accuracy.

Qualification/s

  • Matric Certificate.
  • Secretarial qualification would be advantageous.
  • 3 – 5 years’ secretarial experience.
  • Litigation experience is preferable.
