Job Purpose
The Senior Production Resources Coordinator provides essential administrative and operational support to the Production Resource Operations (PRO) Management team. This role is responsible for assisting with resource planning, scheduling, coordination, and overall departmental operations to ensure the seamless execution of daily activities across all PRO divisions.
Key Responsibilities
- Provide daily administrative support to PRO Management, including scheduling team meetings and distributing relevant communication to PRO teams.
- Maintain accurate records of departmental roster amendments, ensuring they reflect all approved shift changes, leave, and special arrangements.
- Support PRO Managers in ensuring the timely processing and submission of invoices for approval.
- Assist with tracking and coordinating staff deployments, including PCR and ENG shoot requirements, in collaboration with Production Coordinators, Input, and Assignments teams.
- Submit and track Purchase Orders for departmental and operational requirements, following procurement protocols.
- Liaise with the Travel Administrator to coordinate bookings for travel, accommodation, and SnT (Subsistence and Travel), ensuring seamless field deployments.
- Coordinate studio bookings and communicate with all relevant stakeholders.
- Monitor and share daily operational updates or changes that may affect resource planning or workflows, escalating to PRO Managers when necessary.
- Support in tracking the Production Coordinator Team’s tasks and performance, reporting progress and raising any issues with the PRO Managers.
- Compile crew lists/accreditation and coordinate with relevant departments to arrange crew meals, security, and satellite capacity for outside broadcasts.
- Compile and distribute call sheets and daily production/logistics schedules for outside broadcast teams.
Qualifications, Experience and Personal Attributes
- Relevant Film & Television qualification
- Minimum of 3 years' proven experience with a solid track record in production coordination within the media industry
- Strong background in coordinating workflows within a news or live broadcast environment
- Ability to manage multiple tasks effectively in a fast-paced, high-pressure setting
- Excellent interpersonal and communication skills, both written and verbal
- Strong team player with a proactive and solutions-oriented mindset
Advanced proficiency in Microsoft Office and Google Workspace (Word/Pages, Excel/Sheets, PowerPoint/Slides) - High attention to detail and strong organisational abilities
- Excellent problem-solving skills and the ability to make sound decisions under pressure
- Willingness to work flexible hours and be available beyond regular duties when required
