Executive Assistant to Founder & Operator

Location: Remote

Working Hours: 8am - 5pm PST (flexible)

Compensation: $1000 - $1500 dependent upon experience

About The Role

Amy is a high-performing operations leader overseeing several startups, managing business strategy, development, vendor relationships, and her own podcast. With her workload doubling in the last three months, she’s seeking a proactive, tech-savvy Executive Virtual Assistant to help bring structure, clarity, and calm to her day-to-day responsibilities.

This is a non-client-facing role focused on behind-the-scenes operational support. Ideal for someone who thrives in a fast-paced, entrepreneurial environment and loves turning chaos into order.

Key Responsibilities

Time & Task Management (Top Priority)

  • Manage and organize Amy’s calendar, coordinate meetings, and ensure time is aligned with top priorities
  • Track and assign tasks across multiple startups using tools like Notion or Monday.com
  • Anticipate needs and flag scheduling conflicts, follow-ups, or prep work

Inbox & Communication Management

  • Monitor and triage up to 6 email inboxes, filtering priorities, and drafting responses in Amy’s voice.
  • Create templates for recurring email types to streamline communication and make it easier for both you and Amy to manage repetitive tasks efficiently.
  • Ensure timely follow-ups and no dropped balls across multiple ventures
  • Transfer tasks from emails to the task tracker for better visibility and organization.

Organizational Support

  • Create and maintain Notion and Monday boards to track workflows
  • Organize business data in Google Sheets, using formulas to consolidate and interpret
  • Help with vendor lists, SOP organization, and light project coordination

Light Social Media & Creative Tasks (Third Priority)

  • Use tools like Canva and CapCut to create reels, quote cards, and occasional podcast-related clip content
  • Coordinate posting schedules and podcast-related uploads or reminders

Qualifications

  • 2+ years experience in a virtual assistant, operations, social media, or executive support role
  • Proven tech-savvy with tools like Google Suite, Google Sheets (formulas), Notion, Canva, CapCut, AI (ChatGPT, Claude, etc)
  • Strong business acumen and a natural problem-solver
  • Excellent written communication with the ability to match Amy’s tone and voice in emails
  • Highly organized, self-directed, and able to prioritize without constant oversight
  • Interest in startups, operations, and/or content creation a bonus

What Success Looks Like

  • Amy’s schedule is streamlined and manageable
  • Her inboxes are calm and prioritized
  • She’s able to spend more time on strategy, less on admin
  • Daily tasks are clearly tracked and nothing slips through the cracks
  • Social media and podcast tasks are handled seamlessly in the background
