Position Summary

The Meetings & Events (M&E) Manager is a senior, proactive leader responsible for driving the success of all conference, event, and banquet activities at The President Hotel. This individual leads the M&E team with a strong focus on operational excellence, commercial success, and guest satisfaction. They are responsible for ensuring high-quality service, managing staff, and driving profitability.

Key Responsibilities

Commercial & Business Development

  • Actively source and secure new meetings and events business through proactive sales activity.
  • Analyze market trends and implement strategies to increase revenue and profitability.
  • Build and maintain strong relationships with corporate clients, agents, and key stakeholders.
  • Prepare and manage department budgets, forecasts, and financial reporting in line with hotel goals.

Operations & Event Execution

  • Oversee the planning, coordination, and execution of all events, ensuring exceptional service delivery from inquiry to post-event feedback.
  • Ensure detailed Banquet Event Orders (BEOs) are accurately created, distributed, and executed.
  • Conduct site inspections and client meetings, ensuring all expectations are clearly understood and fulfilled.
  • Drive standards of set-up, service, safety, cleanliness, and professionalism in all event areas.

Leadership & Team Management

  • Lead, coach, and inspire the M&E team to achieve personal and departmental goals.
  • Oversee recruitment, onboarding, training, and performance management of the team.
  • Foster a positive, accountable, and high-performance culture within the department.
  • Ensure team members uphold the highest standards of grooming, etiquette, and service excellence.

Guest Experience & Communication

  • Serve as the primary liaison for event clients, ensuring all guest needs are anticipated and met.
  • Monitor guest feedback and proactively implement improvements to enhance the guest journey.
  • Engage with guests before, during, and after events to ensure satisfaction and encourage repeat business.

Quality & Compliance

  • Ensure all events adhere to brand standards and health & safety regulations.
  • Maintain meticulous records of events, inventory, and operational procedures.
  • Collaborate with other departments (Kitchen, Housekeeping, Front Office) for seamless event delivery.

Financial & IT Responsibilities

  • Lead the planning and budgeting process for the Meetings & Events department, ensuring alignment with the hotel's overall financial goals.
  • Create detailed Profit & Loss (P&L) statements for each specialized event, evaluating cost-effectiveness and profitability.
  • Monitor departmental financial performance, identifying areas for improvement in revenue generation and cost control.
  • Process and verify all Opera system entries, including event charges, adjustments, deposits, and post-event reconciliations.
  • Utilize event templates and tools for efficient planning, billing, reporting, and communication across departments.
  • Ensure accurate and timely completion of all financial documentation, including invoicing, payments, and vendor management.
  • Collaborate closely with the Finance team to ensure compliance with internal controls, audit requirements, and reporting standards.
  • Support digital transformation by championing the use of technology and IT tools to streamline operations and improve efficiency.
