JOB SUMMARY:
Main purpose of position: To be the first point of contact for all CipherWave customers and guests and ensuring that the company runs smoothly You will greet visitors, answer phone calls, and run errands while maintaining professional composure throughout interactions with customers or potential clients
Responsibilities and duties:
  • Efficiently manage the switchboard by answering all incoming calls promptly and accurately
  • Conduct professional telephone screening to ensure appropriate call routing
  • Direct calls to the relevant departments or individuals with precision
  • Accurately record and relay messages in a timely and effective manner
  • Provide a welcoming and professional hospitality experience to guests
  • Perform general office administration tasks as required
  • Maintain security protocols by following access control procedures at the reception area
  • Professionally meet and greet clients and visitors, ensuring they are attended to and offered refreshments
  • Maintain a neat, professional, and well-groomed appearance at all times
  • Coordinate meeting and boardroom bookings when necessary
  • Monitor and maintain office supplies, placing orders as required to ensure adequate stock
  • Oversee general office maintenance to ensure a clean, safe, and functional work environment, reporting and following up on issues as needed
  • Undertake additional related duties as reasonably requested

Desired skills & experience
  • Excellent admin, telephone, and communication skills
  • Computer Literate (Microsoft Office Suit, Excel)
  • Well-presented and professional appearance
  • Ability to work under pressure
  • Self-supervision as well as being able to work in a team environment
  • Discretion and confidentiality

Minimum experience:
  • At least 2-3 years’ experience in Administrative / Receptionist/ Customer Service Role
  • Computer Literate and intermediate level in Microsoft Office Suit, Excel, Word, etc

Minimum qualification:
  • Matric
