Logistics and Operations Coordinator

The purpose of the role is to assist the Business Operations team with national logistics and ad hoc administration as required.
The Logistics and Operations Coordinator will work with sales executives and their phone contracts, devices, stock allocations and reporting. They will also be responsible for all shipping nationally within South Africa.
Key Responsibilities include, but are not limited to:
Ad hoc admin as required, including but not limited to checking communications to stay up to date on tasks for the day for themselves as well as the Business Operations Manager.
Ensure necessary agreements, confidentiality agreements, and other legal documents for either logistics or operations is checked by Legal and signed.
Arrange courier services including creating the waybill, packaging it properly, ensuring address is accurate, ensure we can send item to the address, check package cover, and make sure it arrived and was received in good condition.
If packages are returned, ensure there is someone on the other side to send it securely and arrange logistics around courier sending and receiving.
Tracking delivery of incoming packages and reconcile with Purchase Orders, and resolve any discrepancies.
Maintain accurate records of inventory as needed, as well as adjustments and returns.
Maintain accurate records of company issued cell phones and SIM cards, updating when needed.
Manage the company issued cell phones and SIM cards for in field teams from start to finish.
Respond to inquiries regarding package and other order status, shipping information, and any other logistics queries.
Identify areas for improvement within the logistics and supply chain processes as well as in the business operations area as a whole and bring it to management’s attention as needed.
Assist Business Operations team with information gathering and research as needed. Including information regarding regulations and updates, compliance, and general standards the team must adhere to.
Assist with preparing and presenting reports on the various areas of the business operations team as and when required.
Minimum Requirements:
Matric / Grade 12 certification
Tertiary education in Supply Chain and Logistics beneficial but not required
Minimum 1 year experience in a similar role
Technical Competencies:
Computer literacy – full Microsoft Office suite
Freshdesk or equivalent ticketing system experience
Experience in any relevant stock management system beneficial
Experience with logistics software beneficial
