KEY PURPOSE OF THE ROLE


Manage and control the National Operations function within the business unit by applicable legislation and internal policies and procedures, with the objective to increase the company's profit line, and to ensure risk is maintained, thereby minimizing the risk of loss.

KEY OUTPUTS/ ACCOUNTABILITY


Financial Management

  • Develop and manage budgets and forecasts for the operational functions based on strategic and operational requirements
  • Control and manage costs and income in line with departmental and organizational budget expectations
  • Reforecast and align the budget to Operational realities within Organizational resources and constraints


Stakeholder Management

  • Develop and maintain relationships with internal stakeholders to deliver services by the expectations of the organization
    Maintain external relationships to ensure fleet services meet the required service standards.
  • Interpret business/customer requirements and address customer queries and challenges to provide timely solutions.
  • Interacting with other areas of the organisation in acting as a catalyst in driving the changed initiatives in ensuring compliance with agreed risk parameters as set out in the organization’s strategy.
  • Act as a strategic advisor offering expert advice on fleet-related matters - both internal and external


Operational Management

  • Ensure the ongoing strategic initiatives are evaluated, interpreted, and implemented in maintaining an effective operational function within the organisation
  • Develop a strong Operational and Delivery model of all strategic initiatives
    Cultivate a strong culture of accountability and operational excellence to position the business as the Fleet Partner of choice in its chosen markets.
    Develop a strong culture of operational excellence within the organisation.
  • Ensure all statutory and business reporting is done within predetermined deadlines (monthly, quarterly, and/or annually) in line with all relevant Regulations and the Organisation’s internal policies and procedures
  • Manage the operations function in per areas below, but not limited to:
  • Vehicle Replacement control (Capex Spend)
  • Fleet Technical / Maintenance
  • New Vehicle Delivery
  • De-fleeted Vehicle process
  • Operations and Fleet Administration & Management
  • Asset & Risk Management Protocols
  • Deal Pricing
  • Compliance with contract requirements
  • Service quality
  • Health and Safety standards and compliance with OHS requirements
  • Vehicle turnaround times managed and optimized
  • Management of Assets and control systems adhered to
  • B-BBEE ensure spending with suppliers falls within the agreed targets and that in-group spending is achieved


Good Governance and Compliance

  • Draft, implement, and maintain applicable policies, procedures, and guidelines to ensure optimal functioning of the operational business units.
  • Define, develop, and implement necessary procedures in conjunction with current procedures, to ensure that risk is minimised in all operational areas.
  • Conduct research of various industries, best practice methodologies, and changes in markets, thereby identifying risks to adjust areas in the business timely manner.
    Adherence to legislation and regulatory requirements.
  • Create, improve, implement, and enforce policies and procedures of the organization that will improve operational and financial effectiveness of the company


People Management

  • Monitoring and managing the operational deliverables, output, and performance of subordinates within the operational teams.
  • Develops talent by facilitating cross-training, developing, coaching, mentoring & growing individuals & teams in the Business Units.
  • Encourages career advancement endeavors
  • Following up on disciplinary procedures and any other matters relating to subordinates’ behavior and activities.
  • Ensures that effective training & development practices exist in the department/s and that continuous learning is fostered.
  • Accountable for providing an environment in which employees can apply what they have learned
  • Support & reinforce the application of newly acquired skills. Rewards the application of newly acquired skills & knowledge.
  • Fosters a climate of continuous learning
  • Ensure training is a part of employees' daily routine & encourages them to tap into the knowledge of their colleagues & to set performance improvement goals.
  • Manage day-to-day staffing requirements, issues, and performance.
  • Implement a staff retention strategy for the business unit
  • Encourage diversity and innovation in the business area
  • Manage a team of specialists in the business [Eg, Technical, Fleet Inspectors]

Personal Development

  • Take ownership for driving own career development
  • Preparation and signing off the Personal Development plan
  • Achievement of objectives/milestones set out in the development plan
  • Development of knowledge base and Intellectual Property
  • PDP plans and performance discussions
EDUCATIONAL QUALIFICATIONS
  • Matric
  • Bachelor’s degree in operations/ business management or related
  • A post-graduate qualification in Business Administration is preferred
  • 8 years’ experience leading a team at the middle and senior management level
  • 8 – 10 years’ experience in logistics/transport/fleet management industry
  • 10 years’ experience leading a team at a senior management level within a similar industry. Knowledge, Skills, and Abilities Required (Competencies & level of competencies)

  • Computer Literate (Microsoft Office Suite)
  • Knowledge and experience of the fleet industry
  • General and senior management skills
  • The ability to understand the differences in culture and treat people with respect according to their cultural needs and requirements, whilst maintaining company standards.
  • The ability to conceptualize, interpret, and understand the holistic picture in a situation and the impact of the situation on the business.
  • The ability to attract, develop, measure, and retain competent and committed human resources to enable achievement of business targets and objectives.
  • The ability to negotiate with role players and arrive at a win-win situation in the best interest of the organization and the negotiating party.
  • The ability to apply the principles of problem-solving techniques to identify and resolve a problem in the best interest of all stakeholders.
