Operations Administrator – Parow

Our client is a growing business within a technical service and manufacturing support environment, operating across multiple branches nationally. They are seeking a highly organised Operations Administrator to manage technician scheduling, job coordination, and service-related administration. This role suits someone who thrives in a fast-paced environment and can manage multiple operational moving parts.
Key Responsibilities
- Plan, schedule, and coordinate technician deployments across various regions
- Manage daily and weekly technician schedules based on operational requirements
- Monitor job progress and adjust scheduling where required
- Coordinate travel and accommodation arrangements for technicians
- Ensure alignment between job schedules and travel logistics to minimise downtime
- Maintain accurate records of all travel and accommodation bookings
- Capture and maintain accurate job records for service and repair work
- Ensure all parts used on-site are recorded and linked to job cards
- Coordinate with stores to ensure correct allocation of parts to jobs
- Support accurate and timely invoicing of completed jobs
- Ensure all jobs are invoiced timeously or quoted via the sales department
- Liaise with stores to track parts issued for specific jobs
- Assist in resolving discrepancies between issued parts and job costing
- Manage and coordinate maintenance agreements and scheduled work
- Set up and manage service schedules in line with client and operational requirements
- Oversee monthly scheduled work across multiple entities
- Act as liaison between technicians, operations, stores, finance, and clients
- Manage queries related to scheduling, job status, and service delivery
- Maintain accurate operational records, job logs, and scheduling documentation
- Assist with compiling operational reports (technician utilisation, job completion, travel costs)
- Support continuous improvement in scheduling and job tracking processes
Requirements
- Proven experience in an operations, service, or logistics coordination role
- Experience in a technical, manufacturing, or service-based environment
- Strong scheduling and planning experience (multi-resource environment)
- Experience working with job cards, invoicing processes, and operational workflows
- Proficient in Sage 300 (Service Manager) or similar systems
- Strong Excel skills
- CRM system experience (advantageous)
