Position Description

Job Purpose

We are looking for an Executive Assistant reporting to the Managing Director Bridgestone Southern Africa and other Senior Executive Leaders.

This role is based in Midrand, Gauteng and may include travel when required.

This position serves as the primary administrative liaison with members of senior management, internal and external stakeholders, and their assistants. The successful candidate must be able to work flexible hours in a fast-paced corporate environment while managing multiple tasks independently and maintaining confidence and diplomacy. You will provide organisational and administrative support to the Executive Committee Members.

Responsibilities:


  • Maintains Executives’ calendars by planning and scheduling meetings, conferences, events and travel.
  • Welcomes and screens visitors and clients, in person or telephonically, and answering or directing inquiries on behalf of the MD and other Senior Executive Leaders.
  • Foster and maintain positive internal and external relationships, engaging with members and stakeholders at all levels of seniority in a professional and collegial manner.
  • Co-ordinates Board and Executive Committee meetings and responsible for following up that minutes are actioned.
  • Responsible for communicating with Board members and other stakeholders and ensures that all responses are done in a timely and professional manner.
  • Compiles Board documents and circulates agendas, reports, minutes and resolutions and ensures that all deadlines are adhered to.
  • Prepares reports by collecting and analysing information.
  • Supports the Executives in projects, proposals and other matters, through research, consultation and coordination.
  • Provides historical reference by developing and utilising filing and retrieval systems and recording meeting discussions.
  • Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings and accompanies Executives when requested.
  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; and verifying receipt of supplies.
  • Managing the reception team and overseeing the canteen.
  • Contributes to team effort by accomplishing related results as needed.
  • Maintains and protects operations by keeping information strictly confidential.

Education:


  • Relevant Diploma / Bachelor’s degree preferred


Experience:


  • Minimum 10 years’ experience in a similar role, with extensive experience at top level
  • Experience working in a fast-paced corporate multinational environment
  • Experience exercising discretion and confidentiality with sensitive company information
  • Have knowledge of administrative procedures
