SUMMARY
The SHEQ Administrator is responsible for providing comprehensive administrative and operational support to the Safety, Health, Environment, and Quality (SHEQ) department. The incumbent ensures that all SHEQ documentation, compliance records, and reporting systems are maintained in accordance with relevant legislation.
POSITION INFO
- Administration and Technical
- Manage the Integrated Management System to assist in maintaining the ISO Certification of ISO 9001, 45001 and 14001.
- Understand the Botong Civilsconstruction projects and organisational structure.
- Develop and implement procedures and systems to achieve productive and efficient office operations.
- Manage the Manager''s diary and ensure that all obligations are met and that reminders are provided for upcoming meetings and the necessary preparation for the meetings.
- Promote and encourage good working relationships and collaboration between the SHEQ department, management and employees.
- Make travel arrangements for the SHEQ Manager from the perspective of sending travel requirements to the relevant people, arranging transfers to and from the airport, accommodation arrangements and reimbursements.
- Deal with all incoming and outgoing mail for the department.
- Order stationery required for the department.
- Manage and co-ordinate all functions of the department and ensure that the SHEQ Manager is well informed and briefed of happenings that affect the department.
- Create and maintain a logical and systematic filing system for all relevant and confidential information relating to the department.
- Assist all departments with the preparation, formatting and amendment of procedures, process flows and related documentation and ensure that they are correctly numbered and filed.
- Manage the SHEQ document management system and ensure documents are reviewed and updated timeously.
- Manage the master document register for the Company.
- Ensure consulting agreements are in place for all professionals appointed to the SHEQ Department and manage the register of current professional work.
- Administrate SACPCMP registrations for safety personnel across Botong Civils
- Administration and follow of all Workmans Compensation claims as well as follow up of sub-contractor documentation relating to injuries and claims.
- Manage the Groups COID Policy.
- Manage Construction work permit applications for all new projects.
- Maintain utmost confidentiality on all matters relating to strategic issues, medical information and any other topics dealt with at Management level.
- Assist the SHEQ Manager with the inputs of the SHEQ Budget.
- Ensure proper review and timely approval of SHEQ related procurement requisitions within approved budget.
- Manage the payment requisition process required by finance for the SHEQ Department.
- Assist in the coordination of SHEQ Statistics.
- Prepare and distribute SHEQ reports, meeting minutes, and correspondence.
- Participate in all external audits involving the Integrated SHEQ Management System.
- Assist the SHEQ Manager to conduct departmental internal audits of the Integrated Management System.
- Manage the Company Fleet documentation.
- Legal & Regulatory Compliance
- Monitor and track compliance with applicable legislation including OHSA, NEMA, and relevant industry regulations.
- Maintain a legal register and ensure timeous updates when legislation changes.
- Maintain records of licenses, permits, and certificates of compliance.
- Incident & Hazard Management
- Record, track, and follow up on all incidents, near misses, hazards, and non-conformances.
- Assist with incident investigations and ensure corrective actions are captured and closed out.
- Compile monthly SHEQ statistics and trend analysis reports.
- Maintain the SHEQ incident register and ensure data integrity.
- Training & Awareness
- Coordinate and track SHEQ training, inductions, and toolbox talks.
- Maintain training records and matrices; ensure certificates are filed and renewals are tracked.
- Assist with the development and distribution of SHEQ awareness materials.
- Support the onboarding process by facilitating SHEQ inductions for new employees and contractors.
- Audits & Inspection Support
- Assist with internal and external SHEQ audits and inspections.
- Maintain audit findings registers and track corrective and preventive actions (CAPAs) to closure.
- Compile audit reports and distribute to relevant stakeholders.
