Job Summary

The Inventory Controller is responsible for the effective management, control, and optimization of all inventories, stores, and receiving operations across the hotel. The role ensures the integrity of inventory processes, stock accuracy, receiving controls, inventory systems (iScala), reporting, and stock management while supporting procurement operations and maintaining compliance with financial, operational, health, safety, and food safety standards.

The Inventory Controller oversees inventory levels, cycle counts, stock variances, receiving functions, and system governance while leading and developing Stores and Receiving teams to support efficient hotel operations and cost control objectives.

Key Duties & Responsibilities

Inventory Management & Control

  • Manage and monitor all hotel inventory, including stock levels, par levels, replenishment requirements, stock movements, and inventory accuracy.
  • Monitor expired, obsolete, damaged, and slow-moving stock and implement corrective actions to minimize waste and financial losses.
  • Oversee monthly inventory counts, cycle counts, ad hoc stock takes, and stock reconciliations across all stores and operational departments.
  • Investigate stock variances and implement corrective actions in collaboration with Stores, Cost Control, and operational departments.
  • Ensure all inventory counts, variance reports, and supporting documentation are accurately maintained for audit purposes.
  • Coordinate monthly stock take schedules and communicate timelines to relevant departments.
  • Build, maintain, and manage all OS&E inventory records.

Receiving & Stores Operations

  • Oversee daily receiving and stores operations to ensure inventory is received, stored, issued, and recorded accurately.
  • Ensure all goods received comply with approved Purchase Orders, pricing, quantity, and quality requirements.
  • Monitor invoice matching and receipt processing against approved Purchase Orders.
  • Ensure all receipts are processed onto iScala and submitted within designated deadlines.
  • Manage pick plans and ensure stock is issued accurately and within operational timelines.
  • Monitor free stock received and ensure compliance with supplier agreements and correct system processing.
  • Support stores and receiving teams with operational challenges and workflow improvements.

iScala System Management & Governance

  • Maintain full integrity, governance, and functionality of the iScala inventory management system.
  • Monitor and resolve daily system errors and inventory discrepancies.
  • Ensure:
    • Requesters and approval workflows are correctly configured.
    • Item histories reflect accurate stock depletion and balances.
    • New inventory items are correctly created, categorized, and linked.
    • Obsolete or discontinued items are reviewed and deactivated.
    • General ledger mappings and inventory coding structures are maintained accurately.
    • Units of measure are correctly configured for purchasing, requisitioning, receiving, and depletion processes.
  • Facilitate creation, amendment, and deactivation of inventory items.
  • Train and support users on iScala processes and best practices.

Procurement Support & Supplier Management

  • Support Procurement with sourcing requirements, including obtaining quotations where required and assisting with supplier evaluations.
  • Collaborate with Procurement on ad hoc purchasing requirements and inventory optimization initiatives.
  • Develop and maintain strong working relationships with suppliers and internal stakeholders.
  • Ensure supplier agreements relating to inventory and free stock are adhered to.

Team Leadership & Development

  • Supervise Stores and Receiving teams, including scheduling, attendance management, leave administration, performance support, and training.
  • Develop team capability through coaching, mentoring, and continuous upskilling.
  • Foster collaboration and effective communication within the department and across operational teams.
  • Lead by example and promote a culture of accountability, professionalism, and continuous improvement.
  • Conduct regular team meetings and maintain effective communication channels.

Financial & Reporting Responsibilities

  • Support cost management initiatives and inventory optimization in line with budget requirements.
  • Monitor inventory performance indicators and provide reports to management.
  • Maintain oversight of operational expenditure relating to inventory and departmental consumables.
  • Prepare and communicate inventory, variance, and stock performance reports as required.
  • Maintain confidentiality regarding all financial, operational, and supplier information.

Compliance, Health, Safety & Food Safety

  • Ensure compliance with company policies, inventory controls, audit requirements, and statutory regulations.
  • Maintain high standards of hygiene, health and safety, and food safety compliance within Stores and Receiving operations.
  • Ensure compliance with Food Safety Management Systems (FSMS), HACCP principles, stock traceability requirements, FIFO/FEFO practices, and inventory handling procedures.
  • Identify and report health, safety, and operational risks.
  • Ensure emergency procedures and safety standards are understood and followed.

Stakeholder Management & Communication

  • Develop and maintain professional relationships with department heads and key stakeholders.
  • Respond to queries and operational requests professionally and within agreed timelines.
  • Support collaboration between Procurement, Finance, Cost Control, Stores, Receiving, and operational departments.
  • Contribute positively to departmental culture and resort objectives.

General Responsibilities

  • Uphold organizational values, policies, procedures, and ethical standards at all times.
  • Maintain professional appearance, conduct, and communication standards.
  • Perform ad hoc duties, projects, and additional responsibilities as assigned by the Procurement Manager, Finance leadership, or management.

Experience

Skills, Experience & Educational Requirements

  • Minimum 3–5 years’ experience in inventory control, stores management, procurement, or finance within a 4- or 5-star hotel or luxury hospitality environment.
  • Previous experience managing inventory systems and leading operational teams preferred.

Technical Knowledge

  • Advanced knowledge of inventory management systems (preferably IScala), procurement processes, stock control, receiving procedures, and inventory reconciliation.
  • Strong proficiency in MS Excel, Outlook, and reporting tools.
  • Knowledge of Food Safety Management Systems (FSMS), HACCP, FIFO/FEFO principles, inventory traceability, and stock compliance requirements are advantageous.
