To supervise the day-to-day running of the distribution operations; supervise procurement, maintenance, control of vehicles, health & safety and security of the distribution department; attend to all AARTO demerit points by investing in own personal development, living the Etlin values and driving performance excellence.

What You Will Do

  • Plan, collect and prepare deliveries daily according to the agreed turnaround times.
  • Allocate trucks to the required routes daily.
  • Ensure that all orders for the day are released and loaded.
  • Follow up daily with customers to ensure they have received their products timeously and in good condition.
  • Follow and trace the trucks (via tracking system) from and back to the store, monitor and record the time taken for long-distance deliveries to allocate reasonable delivery times for planning purposes.
  • Assist with the control and directing of all transportation into and out of the cold store when required.
  • Ensure that related documents (Inv, GIV, GRV) are handed to drivers and that it accompanies them on all long-distance deliveries. KZN only
  • Ensure that record sheets are maintained by the drivers and monitor the sheets on a regular basis.
  • Hand over POD’s received to the account’s department immediately.
  • Check that trucks are always loaded according to permissible mass.
  • Ensure that all trucks are weighed on the weigh bridge before and after loading and that the correct weights are recorded. KZN Only
  • Instruct drivers to be in contact with the Distribution Supervisor if any problems arise e.g., incorrect weights, shortage on C/S, incorrect product loaded etc.
  • Check all invoices and supporting documentation received from transporters for correctness daily before handing them into accounts for further processing. KZN Only
  • Maintain and update statistics on the system daily.
  • Provide feedback and reports to Direct Manager when required regarding the day-to-day running of the operations.
  • Able to operate across multiple sites and senior stakeholders
  • Attend to the maintenance and servicing schedules of vehicles without compromising standards and the service delivery to customers.
  • Ensure that all trucks are washed and cleaned at all times.
  • Check and ensure that all Refrigeration Units are in good condition and tested daily.
  • Supervise vehicles and relevant equipment relating to the distribution department at the branch.
  • Supervise and implement safety, security, housekeeping, and sanitation programs daily.
  • Investigate repetitive damages and address direct reports and ensure the implementation of preventative measures.
  • Engage with direct reports when repetitive damage occurs.
  • Obtain maintenance quotes when required.
  • Provide input to the maintenance budget.
  • Provide input for the procurement of vehicles and equipment for the distribution department.
  • Provide feedback and reports to the Direct Manager on requests regarding the procurement, maintenance and control of motor vehicles (including damages.)
  • Supervise the health & safety of all personnel, equipment, and property ongoing.
  • Execute the loss control and security measures to ensure that stock and other losses do not occur.
  • Report all work-related injuries of Employees immediately according to the Injury on Duty (IOD) process.
  • Ensure compliance with OSHA regulations ongoing.
  • Ensure that direct reports are using the correct PPE ongoing.
  • Conduct investigations to determine causes of distribution accidents and to improve safety procedures.
  • Implement and maintain that all regulatory and legislative requirements are met.
  • Implement and maintain all food safety standards and customer requirements are met.
  • Provide feedback and reports to the Direct Manager on request to guide the Health & Safety, and Security activities.
  • Check for any demerit points on the system weekly.
  • Allocate the demerit points to the relevant driver on the same day.
  • Send the correct details to the accounts or the Human Capital department.
  • Provide feedback and reports to the Direct Manager regarding all AARTO demerit points.
  • Ensure achievement of own performance objectives.
  • Attend scheduled training as agreed.
  • Ensure completion of any assessments to evaluate understanding.
  • Fill in attendance registers when required.
  • Display behaviours that support the culture that is consistent with the vision, mission, and values of Etlin.
  • Adhere always to all the policies and procedures within Etlin.
  • Behave ethically and handle things confidentially.
  • Optimise direct reports productivity by supervising and measuring their performance.
  • Provide ongoing feedback, instruction & development guidance to help others excel in their current or future responsibilities.
  • Provide the overtime hours to the direct manager worked by direct reports in the required format by the monthly cut off dates for salary calculation purposes.
  • Provide input to ensure direct reports are effectively recognised and rewarded in line with organisational practice and governance.
  • Share and transfer product, process, and systems knowledge to colleagues.
  • Ensure achievement of own performance objectives.
  • Ensure that all employees have signed position profiles, performance agreements/contracts and reviews by participating in profiling sessions and conducting performance agreements/contract and reviews for direct reports.
  • Put together action plans to address poor performance in conjunction with your direct manager.
  • Ensure all direct reports are adequately trained.
  • Attend interviews of candidates/internal applications
  • Assist in arranging for the onboarding of Employees
  • Discipline direct reports where necessary (Human Capital will facilitate the process and provide the necessary documentation and arrange for Disciplinary Hearings when required).

What We’re Looking For

Qualifications

  • Matric Certificate NQF Level 4 - (Grade 12)
  • Qualification/Certification in Supply Chain, and/or Distribution Logistics and/or Commerce
  • (Recognition for prior learning (RPL) based on years of experience and knowledge gained will be granted to those already in the position).
  • Preferred: NQF level 5 Diploma in Supply Chain Management, and/or Distribution and Logistics and/or Commerce, Degree in Transport & Road Freight
  • Minimum: 2-4 years’ experience in a Supervisory role, within a high-volume Transport operation.
  • Preferred: More than 4 years’ experience in a Supervisory role, in a high-volume Transport operation, within the frozen/chilled food industry.
