Service Costing Clerk

Motus Multifranchise George currently has a vacancy for a Service Costing Clerk reporting to the Service Manager.

The successful candidate will be responsible for providing an accurate costing and invoicing administrative service to the

dealership in accordance with company standards and procedures. The role includes processing all documentation and

maintenance within the dealership. This involves checking, allocating, preparing, according to the required standards and processes.

ROLE RESPONSIBILITIES

Effective processing of all workshop costing and invoicing documentation:

  • Open job cards and allocate WIP numbers
  • Ensure all customer details are accurately captured on booking and repair documentation
  • Accurately capture vehicle repair records on the IT system
  • Ensure accurate job card costing
  • Provide customers with written quotations
  • Obtain correct parts, labour, and sub-contractor pricing
  • Generate sub-contractor orders from the IT system
  • Ensure sub-contractors have the required authority to proceed with repairs
  • Ensure all quotations are attached to job cards and filed correctly
  • Assist with booking vehicles for repairs and allocating work to technicians when required

Effective financial management of workshop costing and invoicing:

  • Ensure all work carried out is allocated to an active account
  • Obtain repair order numbers where applicable
  • Ensure procedures are followed when capturing account details
  • Obtain written order numbers from finance houses when necessary
  • Confirm insurance liability for workshop costs where applicable
  • Accurately determine maintenance contract cost splits
  • Verify customer account details and credit limits
  • Confirm cost splitting with the warranty department before invoicing
  • Locate and apply relevant WIS numbers
  • Forward maintenance documentation to the maintenance department
  • Ensure completed job cards are submitted to costing and invoicing clerks

KNOWLEDGE, SKILLS & QUALIFICATIONS:

  • Minimum Grade 12 qualification
  • Strong teamwork skills
  • Previous motor industry experience will be advantageous
  • Knowledge of Kerridge/Autoline Drive will be advantageous
  • Service costing skills, knowledge, and experience
  • Excellent communication and people skills
  • Ability to work well under pressure
  • Minimum of 2 years’ experience in a Service Costing position will be beneficial
