The Role
In this role, you'll play an important part in helping clients navigate consular and document-related processes across a range of jurisdictions. You'll manage matters from start to finish, including preparing applications, completing online submissions, arranging appointments, and coordinating the procurement of official documents. You'll work closely with clients, consulates, government authorities, and colleagues to ensure applications and requests are handled accurately, efficiently, and within required timelines. Strong attention to detail and excellent organisational skills will be key as you manage multiple priorities and help deliver a seamless client experience. As part of a collaborative and supportive team, you'll have the opportunity to develop your expertise in consular services and document procurement while building valuable client service and case management skills.
What Your Day Will Look Like
- Act as a primary point of contact for clients, providing responsive, high-quality support and managing expectations throughout the process
- Conduct case assessments and develop case strategies, identifying risks and recommending optimal approaches

- Prepare and review applications and supporting documents, ensuring accuracy and compliance with legal and firm standards
- Perform research on complex immigration queries, interpreting legislation, regulations, and policy to provide clear guidance
- Manage a portfolio of immigration matters, ensuring cases are progressed accurately and within agreed timelines
- Monitor case progress and communicate updates to clients and stakeholders in a clear and timely manner
- Maintain real-time, accurate updates in internal systems and tools, ensuring strong data integrity and case tracking
- Collaborate with team members and support junior colleagues, including sharing knowledge and reviewing work where appropriate
- Provide support to other teams during periods of lower activity, contributing to shared team objectives and ensuring a consistently high level of client service across the business
- Identify opportunities for process improvements to enhance efficiency and client service delivery
The Team
The Consular & Procurement Documents Team plays a vital role in supporting clients with a wide range of consular and document-related services. The team is responsible for coordinating business visa applications, preparing and submitting documentation, arranging consular appointments, and assisting with the procurement of official documents such as police clearances, birth certificates, marriage certificates, and other supporting records. Working across multiple jurisdictions, the team helps ensure that clients receive efficient, accurate, and timely support throughout the process. You will be joining a collaborative and fast-paced team that works closely with clients, government authorities, consulates, and colleagues across the business. Essential Criteria
What we are looking for
- Minimum 3+ years’ experience in business immigration or global mobility
- Experience supporting immigration or consular processes across multiple African jurisdictions
- Strong understanding of immigration processes, documentation requirements and client service delivery
- End-to-end experience managing Schengen visa applications, including documentation, appointments, submissions, and follow-ups
- Experience in coordinating procurement of official documents (e.g. police clearances, civil records, legalisation/apostille processes) across jurisdictions
- Direct experience interacting with consulates, embassies, and government authorities
- Familiarity with consular booking systems and workflow tools, and experience managing high-volume consular appointments across multiple jurisdictions
- Proven ability to manage a caseload independently, including case strategy, documentation, and submissions
- Ability to identify risks in consular processes and exercise sound judgment in escalation and decision-making
- Comfortable navigating evolving regulatory environments and resolving issues where processes are not clearly defined
- Experience managing client relationships and providing clear, commercially aligned guidance
- Excellent written and verbal communication skills, with the ability to explain complex information clearly and professionally
- High level of administrative accuracy and attention to detail, and strong organisational and time management skills
Preferred/advantageous Skills
- Fluency or working proficiency in French or Portuguese strongly preferred. Additional languages advantageous (e.g. Spanish, Arabic, Swahili)
- Experience working within a corporate, legal, consulting or professional services environment, supporting multiple clients and stakeholders
- Familiarity with case management systems, workflow tools and digital platforms used to manage client matters
