Job Purpose

To provide a full range of administrative support, ensuring an excellent administrative function to the academic department.

Duties and Responsibilities

Administrative Support

  • Administration tasks are completed accurately and efficiently.
  • Customer enquiries are distributed and handled professionally and efficiently.
  • Professional support is provided as required.
  • Office resources (stationery) are adequately maintained.
  • Process internal and external mail efficiently in the Academic Department.
  • Accurate data entry and processing across the Academic systems.
  • All requests for documentation, spread sheets, and databases are met in an accurate and timely manner.
  • Maintain office filing and storage.
  • Keep filing / document management system for electronic and paper documentation organized.
  • Prepare documentation and photocopies

Communication

  • Clear communication to be given to the Line Manager and Departmental Staff.
  • Communication to external suppliers and customers to be clear and precise as indicated by the Line Manager.
  • To ensure that all information returned is complete and accurate.

Deliver Work

  • Completes tasks within designated timeframes despite obstacles.
  • Displays drive to meet objectives and standards.
  • Maintain a focus on tasks that require considerable and or routine effort.
  • Seek direction / suggest alternative solutions when faced with obstacles to ensure task completion.

Minimum Requirements

  • Bachelor of Education or Administrative Similar
  • Administration experience would be advantageous
  • Grade 12

  • Knowledge and understanding of the South African higher education systems and regulatory framework.
  • Ability to manage time effectively.
  • Attention to detail.
  • Customer service orientated.
  • Ability to effectively cope with change.
  • Deadline orientated and can work well under pressure.
  • Be able to work in a team environment.
  • Effective communication skills
