Ricoh South Africa is recruiting for the position of an HR Advisor for a fixed term period of 4 months. The successful incumbent will be responsible to provide professional HR services with timely advice, guidance and support to leaders, managers and employees. The role will be responsible for proactively managing HR generalist processes, practices and administration. This role will be key in delivering all people related policies, processes and development.
In addition, the role leads and coordinates local learning and development initiatives, employee engagement, and organisational capability building, while ensuring alignment with EMEA programmes and standards. Serves as the Skills Development Facilitator and statutory reporting lead, responsible for WSP/ATR submissions, SETA-funded programme management, B-BBEE skills development compliance, and learner programme governance to support strategic transformation and skills objectives.
What you will be doing
- Process employee life-cycle changes
- Manage probation administration
- Coordinate and administer disciplinary and grievance processes
- Administer absenteeism tracking and reporting, including sick leave trends and follow-up actions
- Manage exit administration, including exit interviews when required
- Prepare standard HR correspondence, warning letters, confirmation letters, and employee notices
- Support payroll by providing accurate and timely employee data changes
- Track and manage fixed-term contracts, learnership contracts, renewals, and expiries
- Respond to routine HR queries from employees and managers, escalating complex matters where required
- Coordinate HR audits by preparing documentation, reports, and compliance evidence
- Support HR projects through administrative coordination, data preparation, and documentation.
- Manage and track employee acknowledgements for policies, procedures, and mandatory documentation.
- Provide expert employee relations advice, support, and guidance
- Ensure effective implementation of HR initiatives across the business, providing proactive support and guidance where required
- Support the development, review, and ongoing maintenance of HR policies and procedures
- Compile, contribute to, and maintain monthly and ad-hoc HR reporting
- Serve as the first point of contact for the business on performance management, employee relations matters, and HR support
- Contribute to compensation and benefits processes
- Take full ownership of employee engagement initiatives
- Collaborate with business managers to identify recruitment needs and manage the end-to-end process
- Prevent potentially damaging employee relations situations by educating the business and monitoring HR best practices
- Draft, review, and amend employment contracts
- Maintain employee files and documentation, ensuring all records are securely stored on the DocuWare cloud solution
- Monitor the HR budget and expenses, escalating and communicating any deviations
- Develop, maintain, and continuously improve HR processes, systems and reporting metrics where possible
- Manage end-to-end onboarding and offboarding processes, including employee induction
- Coordinate annual wellness days
- Ensure employee wellbeing cases are appropriately referred and followed up
- Manage the end-to-end process for employee permanent or temporary disability cases with the relevant Fund
- Serve as the system administrator for Learning and Performance platforms
- Partner with business leaders to identify learning and development needs and liaise with EMEA Learning & Development teams to source and implement learning programmes
- Design, coordinate, and facilitate internal learning and development initiatives
- Drive the completion of mandatory EMEA learning programmes
- Develop and distribute internal employee communications and prepare presentations
- Track, analyse and report on learning participation, completion, and impact
- Compile and submit the WSP and ATR
- Lead the B-BBEE Skills Development pillar
- Align the skills development strategy with transformation objectives
- Manage SETA-funded programmes and grant opportunities
- Manage funded and non-funded learner and internship programmes
- Coordinate the recruitment and selection of learners and students
- Oversee learner placement, workplace exposure, progress tracking and performance monitoring
- Manage SETA and other key stakeholder relationships
- Submit grant disbursement claims
You will ideally have
- Degree in Human Resources or similar qualification
- 3-5 years’ experience in and HR and L&D
- Certified Skills Development Facilitator (SDF) is an advantage
- Knowledge of South African labour legislation, B-BBEE Codes, and SETA compliance requirements
- Confident & dynamic speaker, able to communicate and interact effectively with all levels
- Enthusiastic and positive personality with ability to build trusting relationships
- Honesty and integrity
- Creative team player, possessing a high degree of professionalism, sound human resource management capabilities, energy and determination
- Outstanding communication skills, both written & verbal
- Proven organisational skills, can work independently and meet deadlines with quality results
- Attention to detail and works with accuracy and risk mitigation
- Good working knowledge of MS Office
- Customer focused, a “can-do” attitude, independent and proactive
