Inventory / Dispatch Administrator

A well-established company in the chemical manufacturing industry is seeking a highly organised and detail-oriented Inventory / Dispatch Administrator to join their warehouse team.

The primary purpose of this role is to ensure accurate stock control, efficient order fulfilment, and seamless dispatch execution, maintaining full alignment between Syspro system records and physical stock.

The role requires strong operational control over inventory accuracy, backorder management, dispatch planning, and transport coordination, ensuring all customer orders are delivered on time, in full, and without error.

Key Responsibilities

Inventory & Stock Control

  • Maintain strict control over stock accuracy and system vs physical reconciliation
  • Monitor stock levels and support warehouse teams with inventory management
  • Identify and resolve stock discrepancies timeously

Order Management & Backorders

  • Manage open sales orders and ensure timely closure
  • Track and prioritise backorders based on stock availability
  • Ensure accurate order verification prior to dispatch

Dispatch Planning & Execution

  • Prepare daily trip sheets using Syspro
  • Plan and support route optimisation and load consolidation (NDD-based planning)
  • Oversee accurate picking, invoicing, and dispatch documentation

Transport & Coordination

  • Liaise with 3PL transport providers to confirm delivery schedules
  • Communicate delays, changes, and updates to internal teams and customers
  • Ensure delivery execution aligns with operational plans

Reporting & System Control

  • Run and validate DOTIF and related operational reports
  • Maintain accurate Syspro records and documentation integrity
  • Track KPIs including delivery performance and order accuracy

Minimum Requirements

  • Matric / Grade 12 essential
  • Minimum 3 years’ experience in warehouse, dispatch, or stock control role
  • Strong Syspro (or similar ERP system) experience essential
  • Solid understanding of inventory control processes
  • Driver’s licence and own transport essential
  • Experience in chemical manufacturing or industrial environment advantageous
  • Strong attention to detail and ability to work under pressure
