HSE ADMINISTRATOR (Grading C1)
Job specification
- Grade 12 / Matric.
- Certificate in Administration, Occupational Health and Safety, Safety Management, or related qualification.
- Minimum 2–3 years’ administrative / hospital reception/ward reception/case management within a hospital environment or in a health and safety environment.
- Previous experience with RMA administration and injury-on-duty claim processes would be advantageous
- Experience within ISO 9001 systems would be advantageous.
- Knowledge of Occupational Health and Safety legislation and compensation fund procedures.
- Good understanding of medical terminology.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
- Strong administrative, organisational, and recordkeeping skills.
- Good written and verbal communication skills.
- Ability to work independently and under pressure.
- A valid driver’s license will be advantageous.

Responsibilities
- Provide administrative support to the Health and Safety Department
- Preparation of DMPR files for presentation and submission with the medical case manager
- Ad hoc review of cases submitted and administered with the medical case manager
- Auditing case files with the medical case manager.
- Maintain accurate health and safety records, registers, and filing systems.
- Compile, capture, and distribute health and safety reports and statistics.
- Coordinate safety meetings, training sessions, inductions, and medical bookings.
- Assist with incident, accident, and near-miss reporting documentation.
- Capture and administer RMA claims and related documentation.
- Liaise with the RMA regarding injury-on-duty cases and claim registrations.
- Maintain records of injury-on-duty cases, medical reports, and compensation documentation.
- Monitor and track employee training, certifications, permits, and medical expiry dates.
- Ensure all safety documentation is updated and filed in accordance with company procedures and legal requirements.
- Assist with audits, inspections, and compliance activities.
- Prepare presentations, meeting minutes, and departmental correspondence.
- Liaise with employees, contractors, and service providers regarding health and safety administration matters.
- Support the implementation of company health and safety policies and procedures.
- Perform general office administration duties as required.
