SUMMARY
Real Estate company with a diverse retail & commercial & industrial portfolio based in Parktown is looking for a Fleet & Asset Manager to oversee all their fleet of commercial vehicles (
Car Rental space or similar).
POSITION INFO
Duties
Ensure the carrying out a wide variety of tasks related to planning, managing, supervising, and coordinating the fleet management related activities
Ensure the effective running and management of the Fleet of Vehicles and the assets of the Group
Ensure that all vehicles are in good running order
Ensure maximum fleet capacity, and any other downtime or repairs are reported
Ensure that vehicles are booked in for services nationally both externally and in-house when the services fall due
Ensure that regular service interval on vehicles to optimise functioning and minimise pollution
Ensure that all operational assets are maintained and repaired to ensure a maximum lifespan and utilisation of assets
Ensure improved efficiencies on motor vehicles:
- Better fuel consumption
- Statistics on individual vehicles showing improved performance and lesser cost of maintenance
Ensure that any vehicle accidents and IODs are addressed should they occur
Ensure the organising and installation of tracking systems on new vehicles
Ensure the managing and always inspecting vehicles for physical damage
Ensure compliance to legal environment regarding roadworthiness
Ensure that all vehicles always have a valid license
Ensure that all fines are up to date as per the Fleet Policy
Ensure that all vehicles have been registered in the company name
Ensure that you do a continuous evaluation of fleet processes and systems and improve efficiency
Ensure that you create and evaluate flow diagrams regarding effective controls and efficiency of workflow
Evaluate all process flows every six months and assess efficiencies
Ensure that you develop a detailed procedure for vehicle operations:
- Daily checklist
- Weekly checklist
- Monthly checklist
Ensure the detailed asset register per property is updated on a quarterly and annual basis
Ensure that all colleagues who make use of a company vehicle have signed the Vehicle Policy and that they always adhere to the Fleet policy
Ensure that the brand identified for the Fleet is always communicated
Ensure that the brand images and business plan for the unit to is viable and sustainable
Ensure that the progress of the implementation of the Fleet Brand is successfully implemented
Implement feedback loop regarding service delivery in Fleet Management at all Properties.
Ensure that you have weekly scheduled meetings with your department
Ensure effective internal communication through monthly management reports and dashboards for individual vehicles, per business unit
Ensure that you submit monthly management reports to COO and CEO
Handle customer complaints/problems and ensure they are resolved within the time guidelines.
Ensure that costs are appropriately managed by checking all documentation, not limited to fuel consumption, on a line-by-line basis.
Monitor actual expenditure incurred by the division and ensure efficient expenditure
Manage fleet card facilities monthly
Ensure fleet cards are obtained for old and new vehicles on a regular basis
Ensure that the Travel Claim Rate is updated as and when the petrol price goes up or down.
Revise the Travel Claim Rate Calculation annually to ensure that the cost breakdown is still relevant
Ensure to work closely with units to ensure that colleagues involved with fleet vehicles are qualified and competent
Ensure that both you and your subordinates attend the ongoing staff training and development programmes
Ensure that all vacancy positions within your department are filled with appropriately trained and qualified people as per the People Development, Hiring Policy
Ensure that you support your subordinates during and after training to ensure living adherence to procedures
Requirements
Grade 12
A Minimum of 3 years’ experience in Logistics and Fleet Management
Experience working with commercial vehicles
Strong mechanical knowledge
Sound administration skills
Own transport essential
