ABOUT THE OPPORTUNITY

Our client, a dynamic and rapidly growing property management and accommodation business, is seeking an experienced Property Administrator to join their team in Cape Town.

This role is ideal for a highly organised and detail-oriented property professional who thrives in a fast-paced environment and has a strong background in leasing administration, debtors management, tenant relations, financial administration, and property management systems.

You will play a critical role in supporting residential accommodation portfolios, ensuring smooth administration, accurate record keeping, compliance, and exceptional tenant experiences.

KEY RESPONSIBILITIES

Property Administration

  • Manage the full lease administration process, including onboarding, renewals, amendments, and terminations
  • Maintain accurate tenant, property, and lease records
  • Ensure all documentation is correctly captured, filed, and updated
  • Track occupancy levels, lease expiries, and renewal schedules
  • Manage tenant onboarding and offboarding processes

Leasing & Occupancy Management

  • Support leasing teams in achieving occupancy targets
  • Assist with lease preparation and administration
  • Coordinate tenant screening and vetting processes
  • Manage move-in and move-out documentation
  • Ensure all leasing processes comply with company policies and relevant legislation

Financial Administration & Debtors Management

  • Manage rental collections and debtor accounts
  • Follow up on arrears and outstanding accounts
  • Assist with monthly billing processes
  • Reconcile tenant accounts and investigate discrepancies
  • Liaise with finance teams regarding account queries and recoveries
  • Assist with utility billing administration and tenant recoveries

Systems & Reporting

  • Maintain and update property management systems
  • Ensure accurate tenant and property information is captured at all times
  • Generate and distribute occupancy, leasing, and financial reports
  • Support system improvements and process optimisation initiatives

Compliance & Documentation

  • Ensure compliance with property management regulations and internal procedures
  • Maintain accurate compliance documentation
  • Assist with insurance claims administration where required
  • Ensure all records are audit-ready and accurately maintained

MINIMUM REQUIREMENTS

Essential

  • 3 - 5 years' Property Administration experience
  • Strong leasing administration experience
  • Proven debtors management and rental collection experience
  • Experience managing tenant accounts and lease documentation
  • Strong administrative and organisational skills
  • Excellent attention to detail and accuracy
  • Strong communication and interpersonal skills
  • Proficient in Microsoft Office, particularly Excel

Highly Advantageous

  • Experience using property management systems such as:
    • Appfolio
    • Xero
    • MDA
    • TPN
    • Zoho CRM
    • Similar property management platforms
  • Experience within residential, co-living, student accommodation, serviced apartments, or hospitality accommodation environments
  • Exposure to multi-property portfolios

PACKAGE & BENEFITS

Salary: R25 000 CTC per month
