SUMMARY

Outline of job role and purpose: A Receptionist ensures smooth running operations by channelling accurate information to all promptly and ensuring a warm welcome and heartfelt goodbye to all guests

Key responsibilities and accountabilities

  • Ensuring that daysheets are updated daily with correct information and shared with all relevant departments timeously.
  • Assist with daily safari shop sales with guests and staff
  • Communication management – ensuring that all phone and radio calls are responded to as per company policy and procedures.
  • Ensure all guest special requirements are noted, acted upon, and communicated to relevant departments
  • Act as a central control point in any emergency situation and ensure you follow company policies and procedures with regard to any emergency situation.
  • Assist with Kwandwe Logistics in terms of transferring guests, staff and deliveries to the correct destinations at the correct times.
  • Guest and staff billing – ensure accurate billing and smooth running check-in and/or check-out procedure
  • Follow Kwandwe Policies & Procedures with regard to payments received, gratuities, forex, and cash handling and management
  • Provide a professional and friendly service to all guests
  • Ensure all Front Office Duties are done as per the Front of House BOPS

The Front Office is the area of the Kwandwe Experience where guests form their first and last impressions of Kwandwe – this makes it really important for Reception staff to work hard to create a pleasant experience for guests to ensure their return.   • Good knowledge of Front Office

  • An appreciation of other cultures. The ability to speak and/or understand another language would be an advantage
  • Computer Skills
    • Good standard of IT and numeracy
    • Computer literate with excellent skills in Excel
    • ResRequest and Sage or similar
  • Literacy and Numeracy
    • Fluent in English (speak, read, and write)
    • Excellent literacy skills (writing of emails, viewing web pages)
    • Excellent arithmetic skills (counting quantities, using percentages, understanding tables in reports, and interpreting graphs)
  • Commercial Skills
    • Commercial awareness – understanding the company

Qualifications And Experience Required

  • Matric or Grade 12 certificate
  • Minimum of 2 years hospitality experience in reputable establishments
  • Front of House Experience is a must
  • Valid Driver’s license- with experience in driving
