The Role

The Cowlairs site is the largest Sterile Services Department in the UK. We provide a full decontamination/sterilisation service to Theatres, Clinics and Community services within the Glasgow area of the Health Board.

The unit reprocesses, on average, 12 million reusable instruments per year.

We are looking for an experienced Administrator to provide a high level of support to the Decontamination team. This post is central to ensuring the efficiency and effectiveness of the daily activities within the units.

All roles will be assessed for sponsorship eligibility in line with current Home Office requirements. NHS Greater Glasgow and Clyde (NHSGGC) can only issue a Certificate of Sponsorship (CoS) where these are met.

Duration, Location, and Working Pattern:

  • This is a permanent post
  • Working part-time hours 34.56 these hours will be worked 8.30am-4.30pm
  • You will be based at Cowlairs CDU, 24 Finlas Street, Springburn, G22 5DT
  • Please note the salary is Pro Rata for part time hours.

Key Responsibilities

You will provide a comprehensive administrative and clerical support service within the department, ensuring a professional and efficient service is delivered at all times. Duties will include receiving clients, staff and members of the public in a polite, helpful and courteous manner, ensuring enquiries are managed appropriately while maintaining strict confidentiality.

You will be responsible for handling internal and external mail and deliveries, dealing with face-to-face and telephone enquiries from health service personnel and members of the public, and taking appropriate action within established protocols. The role will also involve maintaining and updating both computerised and manual filing systems and records.

Additional responsibilities include attending departmental meetings, preparing agendas, recording and distributing minutes, and providing general administrative support to the wider team. The successful candidate will input and maintain accurate information on a range of systems including T-Doc for fast track requests, SSTS for Estates staffing shifts and working patterns, and systems relating to annual leave, sickness and other staff leave for CDU Estates and Endoscopy staff.

The role also includes generating orders on PECOS as requested, maintaining stationery and office supplies for the department, ensuring the Security Sentinel monitoring system remains fully updated, and receiving goods while updating the Cedar system as required

Knowledge, training, qualifications and/or experience required to do the job:

  • ECDL or equivalent proficient in all Microsoft packages.
  • Good planning and organisation skills.
  • Ability to work with little supervision i.e using initiative.
  • Ability to work to deadlines
  • Ability to work as part of a team
  • Ability to follow protocols for work areas and contribute to review of these protocols
