We are looking to hire a Litigation Portfolio Administrator to join our acquired debt portfolio. This portfolio manages 500+ active litigation matters through a panel of external attorney firms, with matters spanning the full spectrum of South African civil litigation from pre-summons to warrant execution and settlement.

The Position

The Litigation Portfolio Administrator is responsible for the day-to-day operational management of the active litigation pipeline.

This person is the primary point of contact between Nimble Legal and its external attorney panel on all operational matters and is the custodian of the litigation workflow, which underpins all management reporting, SLA monitoring, and strategic decision-making.

This role carries substantial responsibility and requires a high level of independent judgment. The successful candidate will report directly to the Senior In-House Attorney and must be capable of managing their responsibilities with minimal supervision. Candidates who require ongoing guidance on litigation process will not be suitable for this position.

Key Performance Areas

Pipeline Data Management

  • Maintain the litigation workflow as the master record for all litigation matters, ensuring accuracy of process steps, attorney details, placement dates, and internal notes at all times.
  • Capture all attorney correspondence and updates into the relevant matter record on the day of receipt, with accurate dating.

Attorney Placement and SLA monitoring

  • Draft and issue placement instructions to the appropriate attorney firm based on matter type, branch, and court jurisdiction.
  • Record the placement in the litigation workflow immediately upon instruction and confirm attorney receipt.
  • Conduct structured, substantive follow-ups with attorneys on all attorney-controlled matters.
  • Review attorney milestones weekly, cross-reference against the litigation workflow status, and update the relevant records or process step.
  • Distinguish between legitimate process delays (court backlogs, sheriff service) and attorney underperformance, which requires escalation.
  • Escalate stagnant matters with full context: current process step, days elapsed since last movement, and specific response required from the attorney.

Document Tracking

  • Monitor and follow up on outstanding documents per matter including surety agreements, statements, returns of service, court orders, and warrants.
  • Record receipt of all documents in litigation workflow with document type and date.

Minimum Requirements

  • Minimum 3 years in legal collections or litigation support - non-negotiable
  • Demonstrated experience engaging directly with external attorneys on litigation matters
  • Working knowledge of SA civil litigation: S129/LOD, Summons, Default Judgment, Substitution, Warrants
  • Advanced Excel: filters, structured tables, formulas
  • Strong written communication - attorney-level precision throughout
  • High attention to detail - non-negotiable
  • Ability to work independently with minimal supervision from day one
  • LLB degree (admitted or not)
  • Experience in ceded or acquired debt portfolios
  • Exposure to High Court matters
  • Experience with legal practice management systems

This position requires a candidate who is operationally independent from the outset. The successful applicant will have sufficient existing knowledge of the South African civil litigation process to manage attorney correspondence, identify process anomalies, and exercise sound judgment without requiring ongoing instruction.
