Emeris Durban North Campus has a vacancy for a Deputy Head Admissions.

Duties and Responsibilities

Student application & admission administration

  • Collaborates with the student recruitment and retention team on targeting, admissions progress, and capacity during the registration process.
  • Supports on the evaluation of new and articulating student admissions against the set admission criteria and communicates the appropriate outcomes ensuring ethical and accurate admissions.
  • Monitor and supports on complex admission queries.
  • Support optimisation of the admissions funnel by identifying bottlenecks and putting measures in place.
  • Escalates admission queries to the Admission Coordinator and Manager-Admissions
  • Liaises with the campus Head-Admissions and Administration and or Head-Student Recruitment on the management of declined admissions and expired offers.
  • Monitors management and issuance of appropriate admission letters.
  • Determines conditions associated with student admission and monitors the tracking on them thereafter via holds.
  • Determines the eligibility of the admittees onto academic programmes.
  • Tracks student admissions through to registration.
  • Reports on admission progress to the Head-Admissions and Administration and
  • Manager-Admissions
  • Adheres to established service level agreements of the admissions process set by the organisation.
  • Works with the Finance department on finance related issues of admission.
  • Works with the Head-Admissions and Administration to analyse admission trends and prepare reporting insights at campus level to ensure admission compliance and continuous improvement.
  • Works with the Manager-Admissions on national admission projects.

Student registration administration

  • Track and monitor adherence to Co-requisites and Pre-requisites registration requirements.
  • Verifies registrations against the admission criteria and academic progression.
  • Checks the accuracy of student registration information on an ongoing basis which includes amendment to the contract.
  • Manages the de-registration and transfer process, and thereafter sends to the Finance department for processing.
  • Manages the process of ensuring all student records and outstanding documentation is up to date.
  • Determines eligibility and facilitates the capturing of academic credits. Monitors the maximum completion time and credit load of such registrations.
  • Ensures compliance of international students from a document and tracking perspective.
  • Adheres to the International Student Policy/Procedure and updates reports regularly.
  • Re-audits all registration profiles in line with the stipulated deadline for governance purposes.
  • Ensure that all associated documentation as stipulated by the Registrar, this would include the following; the South African Qualifications Authority SAQA / Universities South Africa (USAF) qualifications, study visas and all conditional acceptance - including remarks, international Students and all outstanding documentation are complete for the purpose of graduation.
  • Tracks and monitors conditional admissions throughout the year such as one module outstanding / Universities South Africa (USAF) / South African Qualifications Authority (SAQA) / combined National Senior Certificate (NSC ) / study visas and all other ad hoc conditional admissions.
  • Adheres to the established service level agreements of the registration process set by the organisation.
  • Performs quality checks on correspondence for students such as; Proof of Registration letters, Travel letters, Medical Aid letters, Universities South Africa (USAF) letters, SAQA letters and Study Permit letters for New and Returning students.

Graduation

  • Determines eligibility of the graduation cohort including late graduation. Ensure that all associated documentation as stipulated by the Registrar, this would include the following; the South African Qualifications Authority SAQA / Universities South Africa (USAF) qualifications, study visas and all conditional acceptance - including remarks, international Students and all outstanding documentation are complete for the purpose of graduation.
  • Identifies and advises of any students who are graduating outside of their graduation year (exception graduates).
  • Verifies student information for prospective graduates.
  • Prepares Short Learning Programme (SLP) certificates.
  • Checks the graduation programme for sign off.
  • Ensures that graduation timelines are met.
  • Facilitates qualification certificate re-prints.

Ticket management

  • Processes assigned admission, graduation & registration tickets received face-to-face or via Assist

Reports & other

  • Facilitates continuous communication with the Manager-Admissions in relation to resolving the Registrar related queries.
  • Complies with The Protection of Personal Information Act (POPIA) legislation relevant to the Admission Centre.
  • Performs other ad hoc administrative and/or reporting duties as and when required.
  • Provides support to the team in terms of performance management and management of leave

Minimum Qualification Requirement

  • Advanced Diploma/ Bachelors Degree (NQF Level 7)
  • Postgraduate Diploma/ Bachelor Honours Degree (NQF Level 8) will be advantageous

Minimum Work Experience Requirement

  • Minimum of 3 years administrative and customer service experience and 2 years of experience in Admissions .

Working Hours

  • Monday to Friday : 08:00 -17:00
  • Alternate Saturdays as required.
