Dispatch Administrator

The Dispatch Administrator is responsible for ensuring accurate, efficient, and compliant execution of all order fulfilment and dispatch processes. The role ensures that customer orders are delivered on time, in full, and without error through effective stock control, system accuracy, and transport coordination.
This role requires strict control of inventory accuracy, active management of backorders, and alignment between physical stock, Syspro system transactions, and dispatch documentation.
Order & Inventory Control
- Manage and monitor all open sales orders and backorders
- Ensure stock availability is verified before dispatch
- Maintain accurate alignment between system stock and physical stock
- Ensure all pick slips are correctly processed and closed daily
Dispatch & Transport Coordination
- Prepare and allocate trip sheets per vehicle and delivery route using Syspro
- Optimise loads and routes based on Next Delivery Dates (NDDs)
- Ensure compliance with maximum legal vehicle tonnage requirements
- Coordinate with 3PL transport providers to confirm schedules and resolve issues
- Monitor dispatch execution and ensure on-time delivery performance
Documentation & System Control
- Generate accurate invoices, delivery notes, and dispatch documentation
- Maintain full accuracy of Syspro transactions related to dispatch
- Ensure all proof of delivery (POD) documents are captured and filed correctly
- Maintain DOTIF and dispatch performance reports
Reporting & Performance Monitoring
- Run and validate DOTIF and dispatch accuracy reports
- Track KPIs including on-time delivery, order accuracy, and dispatch efficiency
- Investigate and resolve discrepancies in stock or dispatch records
Communication & Stakeholder Management
- Liaise with sales teams, warehouse staff, and customers regarding order status
- Communicate delays or delivery issues timeously
- Maintain strong relationships with 3PL transport providers
- Resolve customer queries related to deliveries and dispatch
Operational Support
- Assist in stock level monitoring and warehouse coordination
- Support continuous improvement of dispatch and logistics processes
- Ensure compliance with safety, quality, and operational standards
- Maintain organised dispatch filing and documentation systems
- Grade 12 / Matric
- Diploma in Supply Chain / Logistics / Warehouse Management (advantageous)
- 3+ years experience in dispatch, warehouse, transport, or inventory control
- 1–2 years supervisory experience preferred
- Experience in Syspro or similar ERP system (essential)
- Proficiency in MS Office (Excel, Word, Outlook)
- Valid Code 08/10 driver’s licence (advantageous)
- OWN VEHICLE (ESSENTIAL)
