Role Summary

White Desert is looking for a highly organised and technically capable Technical Product Owner to support the Head of Technology across a broad portfolio of internal systems, digital products, infrastructure, data, security, and operational technology projects.

The role will assist with product ownership, project coordination, technical administration, IT support, systems documentation, vendor follow-up, infrastructure oversight, analytics and tracking, and day-to-day technology operations.

The ideal candidate understands technical concepts, translates business needs into clear requirements, keeps projects moving, manages detail, follows up consistently, and helps turn technology work into delivered business outcomes.

1) Technical Operations & Administration

  • Assist with user access, permissions, onboarding, offboarding, and licence tracking.
  • Maintain system documentation, admin notes, technical registers, and internal process guides.
  • Track renewals, billing, contracts, domains, certificates, SaaS subscriptions, and vendor accounts.
  • Keep internal tools, platforms, and technology records organised and up to date.
  • Coordinate support requests from internal teams and make sure issues are followed through to resolution.
  • Help improve internal technology processes, policies, documentation, and operating standards.

2) Infrastructure & Systems Support

  • Cloud hosting and backend services.
  • Frontend hosting and web platforms.
  • Databases and core data storage environments.
  • Identity, user access, and licence administration.
  • DNS, domains, certificates, web security, and traffic management.
  • Data platforms, reporting tools, and pipeline infrastructure.
  • Monitoring, error logging, and uptime tracking.
  • Documentation and knowledge management platforms.
  • Developer workflow and deployment coordination.

3) Project Management & Delivery Support

  • Maintain project plans, timelines, action lists , and status updates.
  • Coordinate between the Head of Technology, internal stakeholders, external developers, SaaS vendors, agencies, and business teams.
  • Help define requirements, scope, user stories, acceptance criteria, and business workflows.
  • Prepare meeting notes, decisions, follow-ups, and project documentation.
  • Track open questions, blockers, risks, dependencies, and next steps.
  • Help test new systems, coordinate UAT, collect feedback, and manage rollout checklists.
  • Keep project management and documentation tools updated.
  • Help ensure projects move from idea to specification to delivery to adoption.

4) Product Ownership Support

  • Translate business needs into clear technical requirements.
  • Document workflows, edge cases, system rules, and operational processes.
  • Help prioritise product backlogs based on business value, urgency, and operational impact.
  • Work with users to understand pain points and system requirements.
  • Help prepare specifications for developers, vendors, or implementation partners.
  • Support testing, release notes, user guides, and team training.
  • Ensure delivered features match the original business requirements.
  • Help bridge the gap between non-technical teams and technical delivery partners.

5) IT & Internal Support

  • Triage internal IT and systems issues.
  • Coordinate fixes with vendors, developers, or service providers.
  • Support access requests, account setup, basic troubleshooting, and user queries.
  • Maintain documentation for common support tasks and recurring issues.
  • Help create clear escalation paths and support processes.
  • Support teams in using internal tools and systems correctly.

6) Data, Analytics, Reporting & Governance Support

  • Help document data sources, owners, flows, definitions, and reporting needs.
  • Support data platform, BI, dashboard, and pipeline initiatives.
  • Assist with website and application tracking setup, including tag management, event tracking, conversion tracking, and CRM attribution.
  • Help coordinate data flows between websites, marketing platforms, CRM systems, and BI/reporting tools.
  • Document tracking requirements, event definitions, naming conventions, and data ownership.
  • Help test and validate tracking implementations and troubleshoot reporting discrepancies.
  • Assist with data quality checks, issue tracking, and integration coordination between business systems.
  • Support documentation around sensitive data handling and internal governance standards.

7) Cybersecurity, Compliance & Risk Support

  • Support access reviews and user permission audits.
  • Help maintain security policies, system records, and compliance documentation.
  • Track risks, remediation actions, and follow-ups.
  • Support documentation around data protection, incident response, backups, and business continuity.
  • Coordinate with external specialists where deeper technical expertise is required.

8) Support to the Head of Technology

  • Prepare agendas, notes, summaries, and follow-up actions.
  • Maintain priority lists and weekly planning views.
  • Help manage project workload, deadlines, and open actions.
  • Prepare internal updates, status reports, and decision documents.
  • Follow up with stakeholders and vendors on behalf of the Head of Technology.
  • Organise technical documentation and decision history.
  • Help protect the Head of Technology's focus by taking ownership of coordination, admin, and operational follow-through.

Required Experience

  • Strong technical aptitude and genuine curiosity about how systems work.
  • Experience in technology operations, technical project coordination, product ownership, IT administration, systems support, SaaS administration, or a similar role.
  • Ability to understand technical systems without needing to be a developer.
  • Strong project management and organisational skills.
  • Excellent written documentation and communication skills.
  • Confidence working with both technical and non-technical stakeholders.
  • Experience with SaaS platforms, cloud tools, identity systems, business systems, or internal digital products.
  • Good understanding of APIs, databases, integrations, hosting, DNS, authentication, data pipelines, analytics, and security concepts.
  • Ability to manage multiple projects and operational priorities simultaneously.

Useful Platform Experience

  • Google Workspace or Microsoft 365 administration.
  • Cloud hosting and backend service platforms.
  • Web deployment and frontend hosting platforms.
  • DNS, domains, SSL certificates, and web infrastructure basics.
  • Database or SQL basics.
  • BI, reporting, or data platform tools.
  • Analytics and tracking tools such as Google Tag Manager, Google Analytics, conversion pixels, CRM tracking, and BI/reporting platforms.
  • CRM, finance, HR, or operational SaaS systems.
  • Highly organised and detail-oriented.
  • Technically curious and a fast learner.
  • Comfortable with ambiguity and shifting priorities.
  • Strong communicator — written and verbal.
