Parts Administrator ( Earth moving Machinery )

We are seeking a detail-oriented and proactive Parts Administrator to support our busy Parts Department. The successful candidate must have a strong understanding of earthmoving machinery and/ or Trucks parts, stock control processes, and the ability to work efficiently in a fast-paced environment. This role is critical in ensuring smooth parts operations, accurate administration, and excellent internal/external customer service.

Key Responsibilities

  • Process parts Requests
  • Assist operations and procurement with parts enquiries.
  • Maintain accurate stock records and assist with stock takes.
  • Monitor back orders and follow up with all departments
  • Capture data accurately on the system.
  • Prepare reports for management on stock movement and parts sales.
  • Ensure filing and administrative records are up to date.
  • Support the Parts Manager with day-to-day department administration.
  • Liaise with workshop technicians and service teams regarding required parts.

Minimum Requirements

  • Matric / Grade 12 (essential).
  • Relevant qualification in Administration, Supply Chain, or similar (advantageous).
  • Minimum 3 years’ experience in a parts administration role.
  • Strong working knowledge of earthmoving machinery/ trucks parts.
  • Experience with brands such as Caterpillar, Komatsu, Volvo Construction Equipment, JCB, SANY or similar will be advantageous.
  • Strong computer literacy (Excel, ERP systems, Outlook).
  • Excellent organisational and communication skills.
  • Ability to work under pressure and meet deadlines.
  • High attention to detail and accuracy.
