Key Responsibilities
Occupational Health Administration
- Act as the first point of contact for all Occupational Health enquiries, whether in person, telephonically, or via email.
- Coordinate and administer Occupational Health appointments, including pre-employment medicals, periodic medicals, management referrals, and follow-up appointments.
- Schedule, amend, and cancel appointments as required, ensuring optimal utilisation of resources.
- Maintain accurate and confidential employee medical records and health-related data.
- Support the processing and administration of employee medical referrals and occupational health documentation.
- Ensure the integrity, security, and confidentiality of all employee health information in accordance with company policies and legal requirements.
- Prepare reports and assist with data management and record keeping within the Occupational Health Unit.
HR Administrative Support
- Provide comprehensive administrative support to the HR Manager.
- Assist with general HR administration, documentation, correspondence, filing, and record maintenance.
- Assist with the administration and maintenance of the Group's HR Information System (SuccessFactors), including employee data updates, record management, system transactions, and user support where required.
- Support the HR Manager in ensuring the accuracy, integrity, and completeness of employee information maintained within SuccessFactors.
Reception and General Administration
- Manage reception functions, including answering and directing calls, welcoming visitors, and providing professional front-line customer service.
- Serve as a central point of contact for employees, site departments, external stakeholders, and visitors.
- Handle general enquiries and ensure prompt and professional responses.
Minimum Requirements
- Grade 12 certificate.
- Minimum of three (3) years' administrative experience in a similar role.
- HR administration experience will be advantageous.
- Intermediate proficiency in Microsoft Word, Excel, PowerPoint, and Teams.
- Excellent written and verbal communication skills.
- Strong organisational and administrative abilities with exceptional attention to detail.
- Ability to work effectively under pressure while maintaining a high level of customer service.
- Ability to handle confidential information with discretion and professionalism.
- South African citizen.
- Valid driver's licence and own reliable transport.
