The College of Business and Economics is recruiting a Senior Faculty Officer to support the Head of College Administration (Postgraduate) in the execution of her duties. Set in a fast-paced environment, the role demands outstanding planning and organisational skills in rendering excellent academic administrative support. The Faculty Officer III ensures that the lifecycle activities for Master’s and PhD students are carried out operationally as delineated by the HCA.
Responsibilities
- Ensure that the lifecycle activities of a postgraduate student are carried out operationally as delineated by the Head of College Administration (HFA).
- Maintaining, verifying, and signing off on the academic structure, pre- and co-requisites, and yearbook, to ensure consistency.
- Working collaboratively with stakeholders, including departments within the CBE and across UJ.
- Managing queries related to applications, registrations, examinations and graduation information at the Master’s and PhD level (telephonic, email, walk-ins).
- Seamless execution of all the activities relating to the life cycle of a Master’s and PhD student.
- Responsible for processing Master’s and PhD applications:
- PG ARS;
- Perceptive Content;
- ITS;
- Processing provisional statement requests;
- Coordinating ICOMM's application letters with the Student Enrolment Centre to ensure they are set up (Master’s, PhD, and PG international letters).
- Responsible for managing student registration processes (Master’s and PhD):
- Pre-registration;
- Late registration requests;
- Exam only registration.
- Processing of cancellations and additions (Master’s and PhD).
- Processing requests for study abeyance and extension of study (Master’s and PhD).
- Progress reports: (Master’s and PhD):
- Registration audits;
- Examination (allocation of Annual result codes).
- Attending the Academic Exclusion Appeals Committee pertaining to Master’s and PhD students and the process following the meeting.
- Uploading, importing, verifying, and publishing examination results.
- Process requests for SSA exams (sick, special, and aegrotat).
- Ensure the efficiency and effectiveness of Faculty Academic Administration.
- Act as custodian of the current students’ academic record.
- Manage the student/supervisor agreement process.
- Extracting HEDA reports to manage the full life cycle of Master’s and PhD students.
- Assist the Head of College Administration (HCA) with risk management related to the operational academic administration activities of PG students.
- Collaborate with Faculty Officers to assess and improve the quality of student record data.
Minimum requirements
- A degree at NQF level 7 in Bachelor of Administration, Bachelor of Commerce, and/or Bachelor of Arts.
- Three (3) years’ academic administrative experience in a faculty within a higher education institution.
- Three (3) years’ extensive ITS experience in all life cycles pertaining to academic administration and student data.
- A minimum of 2 years of MAMS, Perceptive content and PG ARS experience.
- Knowledge and understanding of UJ Academic Regulations.
- Knowledge of Faculty rules and Regulations.
- Knowledge of UJ Policies and Procedures.
- Knowledge and understanding of statutory body requirements (DHET, SAQA, CHE).
- Proven computer skills in Windows and MS Office
