POSITION INFO
The following is required with at least 5-7 years working experience: To serve as the first point of contact for clients and visitors, ensuring a professional and welcoming reception experience. The Client Service Administrator is responsible for managing front-desk operations and providing essential administrative support to facilitate the smooth functioning of the office Key Responsibilities: Reception Management: Maintain a tidy and organized reception area to create a welcoming environment for clients. Greet and welcome clients, ensuring they feel comfortable and attended to upon arrival. Communication: Answer and manage telephone calls professionally and efficiently. Send daily birthday messages to clients and update relevant diaries accordingly. Notify relevant personnel of important updates via email. Office Administration: Perform routine administrative tasks such as managing office supplies, handling petty cash, and ensuring the office is well-maintained. Support the team with general administrative tasks Compliance and Documentation: Ensure all client interactions and records comply with regulatory requirements. Adhere to company policies and contribute to process improvements. Generate internal and external agreements as needed. Systems Maintenance and uploading of client records and profiles on a continuous basis. Maintaining of system information Maintain system integrity and security Additional Responsibilities: Attend training sessions as required to stay updated on industry practices and regulations. Prepare reports and documentation for internal and external audits. Adhere to all company processes and policies to ensure smooth operations. Skills and Qualifications: Strong organizational and multitasking skills. Excellent communication and interpersonal skills. Experience in client service and administrative tasks.
