Prime Product Manufacturing is a leading manufacturing organisation currently undertaking a significant business integration and transformation programme. As part of this journey, the business is implementing Sage 300 People and consolidating payroll and HR systems across multiple sites to create a unified, efficient and scalable people management platform.
We are seeking an experienced Payroll & HRIS Specialist to play a key role in this transformation while ensuring the delivery of an accurate, compliant and effective payroll function.
POSITION PURPOSE
The Payroll & HRIS Specialist is responsible for payroll governance, payroll administration, HRIS management, workforce analytics and payroll systems integration across the business.
The role will oversee payroll administration for approximately 250 employees across multiple payroll categories, sites and cost centres, while ensuring payroll accuracy, statutory compliance, data integrity and effective payroll governance.
A key component of the role will be supporting the migration from SAP and HR Focus to Sage 300 People, working closely with the outsourced payroll service provider and internal stakeholders to ensure successful implementation and long-term payroll sustainability.
1. Payroll Integration, Systems Implementation & Data Migration
- Support payroll and HR systems integration initiatives arising from business integration and organisational change programmes.
- Participate in payroll and employee data migration activities from SAP and HR Focus to Sage 300 People.
- Perform data cleansing, validation, reconciliation, UAT testing and parallel payroll runs.
- Support process harmonisation, payroll standardisation and system implementation activities.
- Work closely with HR, Finance, IT and external service providers to ensure successful project delivery and post-implementation stabilisation.
2. Payroll Administration & Governance
- Execute end-to-end payroll processing accurately and within agreed deadlines.
- Administer payroll transactions including salaries, overtime, shift allowances, leave, deductions and other payroll-related payments.
- Maintain employee master data and payroll system integrity.
- Manage payroll calendars, payroll controls and payroll governance requirements.
- Reconcile Time & Attendance information and support payroll risk management activities.
3. Compliance, Payroll Governance & Statutory Reporting
- Ensure compliance with all payroll, tax and employment legislation, including BCEA, PAYE, UIF, SDL and Compensation Fund requirements.
- Administer statutory and authorised payroll deductions accurately.
- Prepare and submit all statutory payroll returns and reconciliations within prescribed deadlines.
- Maintain effective payroll controls, governance processes and audit readiness.
- Monitor legislative changes and implement required payroll updates and improvements.
4. Payroll Reporting & Analytics
- Prepare payroll reconciliations, payroll journals and payroll-related financial reporting.
- Support Finance with month-end reporting and payroll accounting activities.
- Produce labour cost analysis, payroll dashboards and management reports.
- Monitor payroll trends, variances and key payroll metrics.
5. HRIS Administration & Workforce Analytics
- Act as the system administrator for Sage 300 People and associated HR systems.
- Maintain employee master data, organisational structures, positions and reporting lines within the HRIS.
- Produce workforce analytics and reporting, including headcount, turnover, leave and labour cost analysis.
- Support Employment Equity reporting, workforce planning, organisational integration and job architecture initiatives.
- Identify opportunities for automation, process improvement and system optimisation.
6. Employee Support & Stakeholder Management
- Serve as the primary point of contact for payroll-related queries and support.
- Investigate and resolve payroll discrepancies and system-related issues.
- Build strong stakeholder relationships while maintaining confidentiality and professionalism in the handling of sensitive employee information.
QUALIFICATIONS & EXPERIENCE
- Diploma or Degree in Human Resources, Finance, Accounting or a related discipline.
- Payroll Certification (SAPA/IPSA or equivalent) will be advantageous.
- Minimum 5 years' payroll administration experience within a medium-to-large organisation.
- Sage 300 People or equivalent enterprise payroll system.
- Advanced Microsoft Excel (Data Validations & reconciliation functions, VLOOKUP, XLOOKUP, Pivot Tables, SUMIFS etc.).
- Experience processing payrolls for 250+ employees across multiple payroll categories, sites and cost centres.
- Experience in retail manufacturing, FMCG or industrial environments will be advantageous.
TECHNICAL COMPETENCIES
- Payroll Governance, Controls, Reporting & Reconciliation : Strong understanding of Payroll Reporting, BCEA; PAYE; UIF; SDL; COIDA;
- Experience preparing Payroll reports, EMP501, EMP201, DOL submissions, Leave administration and Payroll taxation principles
- Payroll Taxation & Statutory Compliance.
- Experience administering overtime, shift allowances, public holiday pay, night shift premiums and Time & Attendance integrations.
- HRIS Administration & Data Governance.
- Strong working knowledge of payroll controls and payroll governance principles.
- Experience with payroll systems implementation, upgrades, data migrations and parallel payroll testing.
- Payroll Systems Implementation & Data Migration.
- Workforce Analytics & Reporting.
- Time & Attendance Systems.
- Experience supporting organisational integration, acquisitions or transformation projects will be advantageous.
