Job Summary
A Medical Receptionist serves as the first point of contact for patients at a healthcare facility. The role involves managing appointments, greeting patients, handling administrative tasks, maintaining patient records, and ensuring smooth daily operations within the medical practice while providing excellent customer service.
Roles and Responsibilities
Patient Reception and Customer Service
- Welcome patients and visitors in a professional and friendly manner.
- Register new patients and update existing patient information.
- Assist patients with inquiries regarding appointments, services, and procedures.
- Direct patients to the appropriate healthcare professionals or departments.
Appointment Management
- Schedule, confirm, reschedule, and cancel patient appointments.
- Maintain accurate appointment calendars for doctors and healthcare providers.
- Send appointment reminders to patients when required.
Administrative Duties
- Answer and direct phone calls, emails, and other communications.
- Manage patient files and maintain accurate medical records.
- Perform data entry and update patient information in electronic systems.
- Prepare and organize documents, forms, and correspondence.
Billing and Payments
- Process patient payments and issue receipts.
- Assist with medical aid/insurance documentation and claims where applicable.
- Maintain accurate records of payments and financial transactions.
Record Keeping and Confidentiality
- Ensure patient information is kept confidential and secure.
- Comply with healthcare privacy regulations and company policies.
- File and retrieve medical records as needed.
Office Coordination
- Maintain a clean and organized reception area.
- Monitor office supplies and order replacements when necessary.
- Coordinate communication between patients, doctors, nurses, and other staff.
Required Skills and Qualifications
- High school diploma or equivalent.
- Certificate or training in medical administration is an advantage.
- Previous reception or customer service experience preferred.
- Knowledge of medical terminology is beneficial.
- Proficiency in Microsoft Office and medical practice management software.
- Excellent communication and interpersonal skills.
