SA Konexion SA (Pty) Ltd is the Employer of Record for this position. You will be employed locally in South Africa by SA Konexion while working fully remotely for a UK-based facilities management company, which will manage your day-to-day operational responsibilities. This is a full-time remote role, open to candidates based anywhere in South Africa, with working hours aligned to the UK from 09:00am to 18:00pm (SAST), Monday to Friday.

We are seeking a detail-oriented and organised Contracts Administrator to provide administrative support to a busy Services team. This role is well suited to a candidate who thrives in a structured environment and is confident managing systems, documentation, and coordination tasks within a facilities or technical services setting. You will report directly to the Contract Manager.

  • Serve as administrator for the company CAFM system on behalf of the Services team.
  • Chase and record all engineer and subcontractor service and reactive work reports.
  • Review engineer and subcontractor reports to enable publishing on the CAFM system and client portal.
  • Raise subcontractor purchase orders associated with maintenance and reactive tasks.
  • Chase quotations and recommendations from engineers and subcontractors following completion of maintenance and reactive tasks.
  • Log quotations on the CAFM system.
  • Review engineers' weekly timesheets and monthly labour reports for management sign-off.
  • Work alongside Contract Support to coordinate and confirm dates for subcontractor PPM service visits.
  • Attend weekly meetings with the Management Team.
  • Carry out any other duties reasonably requested by your Line Manager.
  • Proficiency in Microsoft Excel, Word, Outlook, and CAFM systems is essential.
  • Excellent overall IT skills with solid working knowledge of MS Office.
  • High standard of numeracy and literacy.
  • Previous experience in a facilities management or construction environment is advantageous.
  • A flexible, methodical, and accurate approach to task management.
  • Basic Salary: R30,000 per month
  • Medical Aid Contribution: Up to R3,588 per month (post-probation)
  • Retirement Annuity: 5% employer contribution (post-probation)
  • Wifi Reimbursement: Up to R599 per month
