About the Opportunity

Motus Mahindra Paarl is seeking an experienced, customer-focused and professional Service Advisor to join our Aftersales Department.

The successful candidate will serve as the primary point of contact for customers requiring vehicle servicing and maintenance. This role is responsible for delivering an exceptional customer experience by accurately identifying customer needs, coordinating service activities, maintaining clear communication throughout the repair process and ensuring customer satisfaction.

The ideal candidate will possess strong communication skills, excellent organisational abilities and a passion for customer service within the automotive industry.

Key Responsibilities

Customer Interaction and Communication

  • Welcome customers professionally and establish their servicing and maintenance requirements.
  • Accurately assess customer concerns and prepare service estimates.
  • Explain maintenance requirements, repairs and associated costs in a clear and understandable manner.
  • Maintain regular communication with customers regarding vehicle progress and completion timelines.
  • Follow up with customers after service completion to ensure satisfaction and address any concerns.
  • Assist with warranty administration and customer queries when required.
  • Build and maintain strong customer relationships to encourage repeat business and customer loyalty.

Service Scheduling and Coordination

  • Schedule service appointments to optimise workshop efficiency and customer convenience.
  • Coordinate closely with Technicians, Foreman and Parts Department to ensure efficient workflow.
  • Ensure required parts and materials are available prior to vehicle bookings.
  • Monitor work-in-progress and ensure vehicles are completed within agreed timeframes.

Documentation and Administration

  • Prepare and maintain accurate job cards, service records and customer information.
  • Ensure warranty information and service histories are accurately recorded.
  • Prepare quotations and obtain customer authorisation for additional work.
  • Process invoicing and service-related documentation accurately and timeously.
  • Maintain compliance with dealership and manufacturer procedures.

Customer Satisfaction and Quality Assurance

  • Ensure repairs and maintenance are completed to dealership and manufacturer standards.
  • Manage customer concerns and complaints professionally and effectively.
  • Escalate unresolved issues to management when required.
  • Continuously seek opportunities to improve customer satisfaction and service delivery.

Product Knowledge and Sales Opportunities

  • Maintain up-to-date knowledge of Mahindra products, services and maintenance requirements.
  • Promote service campaigns, accessories, maintenance plans and value-added products.
  • Identify opportunities to generate additional service and accessory sales.

Teamwork and Reporting

  • Work collaboratively with Service, Parts and Sales Departments.
  • Assist in achieving departmental performance and customer satisfaction targets.
  • Provide accurate reporting on customer interactions, workshop activity and service performance.

Minimum Requirements

  • Grade 12 (Matric).
  • Minimum 2 to 3 years' experience as a Service Advisor within the automotive industry.
  • Strong customer service and relationship management experience.
  • Computer literacy, including Microsoft Office and dealership management systems.
  • Valid driver's licence and own reliable transport.
  • Excellent verbal and written communication skills.
  • Ability to work effectively in a fast-paced dealership environment.

Advantageous Qualifications

  • Technical qualification within the automotive industry.
  • Previous experience within a franchised dealership environment.
  • Experience with dealership management systems such as Automate, Kerridge or similar.
  • Knowledge of Mahindra or other automotive brands.
