Executive Personal Assistant to CEO

We are searching for an exceptionally organised, proactive, and trustworthy Executive Personal Assistant to serve as the CEO’s right hand in a dynamic, fast-paced business group. This is far more than a traditional PA role. The successful candidate will be deeply involved in business administration, diary and travel management, supplier coordination, financial administration, property matters, staff scheduling, and personal logistics. You must be someone who thrives under pressure, works with urgency, and follows through relentlessly. Confidentiality, accuracy, and accountability are non-negotiable. The CEO requires a PA who can take instruction, structure tasks, follow up without delay, escalate issues when necessary, and report back clearly.

•Manage the CEO’s diary, meetings, correspondence, travel, and daily priorities

•Act as gatekeeper for calls, emails, and requests, escalating urgent matters immediately

•Attend meetings, take accurate minutes, and ensure follow-up on all action items

•Track deadlines and instructions, ensuring nothing is overlooked or delayed

•Provide daily updates on priorities, outstanding matters, and escalations

•Handle financial administration: supplier quotes, invoices, reconciliations, and payment packs

•Verify all supplier and payment details before processing

•Maintain accurate records of approvals, payments, and correspondence

•Coordinate contractors, suppliers, property maintenance, and site visits

•Supervise and schedule support staff (driver, handyman, cleaners, etc.)Ensure office and meeting spaces are maintained to a professional standard

•Manage business and personal logistics, including travel, appointments, and household matters

•Draft and prepare professional correspondence, reports, presentations, and agreements

•Maintain structured filing systems (digital and physical) for easy access to information

•Liaise professionally with staff, suppliers, contractors, executives, and external parties

•Matric certificate (relevant qualification advantageous)

•Proven experience as an Executive PA, Office Manager, Senior Administrator, or similar role

•Strong Excel/Google Sheets skills for reconciliations, cost tracking, and reporting

•High computer literacy across email, calendars, filing systems, and document preparation

•Valid driver’s licence and reliable vehicle

•Excellent English communication skills (written and verbal)Ability to work after hours or weekends when required
