Position Overview
The Centre Support / Office Manager is responsible for the day-to-day administrative operations of the centre, ensuring efficient office management, accurate recordkeeping, and exceptional support for staff, clients, and leadership. This role plays a key part in maintaining smooth business operations by coordinating administrative processes, managing documentation, supporting scheduling, and assisting with general office functions.
Responsibilities
- Manage daily administrative and office operations.
- Answer phone calls, emails, and general enquiries professionally.
- Coordinate appointments, meetings, and calendars.
- Maintain accurate client, employee, and operational records.
- Prepare reports, correspondence, and administrative documentation.
- Support onboarding and administrative tasks for new employees.
- Order and manage office supplies and equipment.
- Assist with invoicing, billing, and basic financial administration.
- Coordinate vendor relationships and office maintenance.
- Ensure compliance with company policies and documentation requirements.
- Support leadership with special projects and operational initiatives.
- Maintain confidentiality of sensitive business and client information.
Requirements
- 3+ years of administrative, office management, or operations support experience.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- High attention to detail and accuracy.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace.
- Experience using CRM, scheduling, or practice management systems is an advantage.
- Ability to prioritize tasks and work independently in a fast-paced environment.
- Professional, customer-focused, and proactive approach.
- Experience in healthcare, therapy, or professional services is preferred.
